Main Duties & Responsibilities:
Review customer’s Request for Proposal/Information material to understand the requirements and bid‑specific elements, i.e., proposal deliverables, deadline, response structure and format, and applicable conventions
Provide counsel for response document/template structure, design, and layout
Set up documentation for the proposal response using numbering system database, appropriate template(s) or previous baselines, and SharePoint site, and create the proposal outline/skeleton by working closely with the proposal writer
Format all proposal documentation according to corporate/department–approved standards and styles
Edit complex and technical proposal documentation, ensuring: consistency/clarity of message, contextual integrity, and tone in the overall deliverable package; proper grammar, flow, readability, accuracy; execution of copy editing
Consult, update, and maintain the writing assignments document., and follow-up on outstanding input when required
Liaise with the parties involved in each proposal, both within and external to the proposal department (i.e., bids & proposal manager, proposal writer, integration solution lead, system architect, business development lead, project/program manager, finance) and support proposal color team reviews (i.e., Pink , Red, Gold) and recovery efforts
Finalize and publish proposal deliverables upon receipt of signatory approvals using Acrobat
Act as the gatekeeper of all documentation prepared by the proposals department, maintaining version control at each iteration, final document release, and archive
Create binders for proposal deliverables when hard copies are required
Support growth and continuous improvement initiatives as required
Required Qualifications & Experience:
University or college degree and five to seven years of related experience, or an equivalent combination of education and related experience
Minimum of 5 years’ experience in document editing and formatting
Strong writing and editing skills in English is required, fluency and editing skills in French is an asset
In-depth knowledge of Microsoft 365 Suite ( particularly Word) and proficient with Adobe Acrobat
A strong sense of document layout and design
Superior attention to detail
Ability to multitask with minimal supervision and under high pressure in a very fast-paced and evolving environment
Flexibility to work in different time zones when applicable
Fluency in French is an asset
EAC certification is an asset
