Proposal Management Senior Specialist

The Proposals Management team is responsible for compiling responses to complex proposal documents and due diligence questionnaires for prospective and existing Northern Trust Asset Servicing clients as part of a procurement, rebid or due diligence process. The team works alongside the sales and relationship management teams to formulate compelling responses in order to win and retain business.

We are seeking a writer whose primary responsibility will be due diligence questionnaires from clients. These clients include retirement plans, corporate clients, not-for-profits, insurance companies and investment managers across a spectrum of fund types.

The services covered will include, but not be limited to, global custody; investment accounting; fund accounting; transfer agency; trustee and depositary; middle office outsourcing; risk and compliance; performance measurement and reporting; cash management; securities lending and transition management.

Excellent written English skills are essential, as is an ability to manage projects within a deadline-driven environment.

Product knowledge of global custody, fund administration or other asset servicing products would be a benefit.

Based in the Asset Servicing business unit, this role will provide an opportunity to interface with experts across Asset Servicing product teams.

Responsibilities:

Response Preparation

Managing the response process from kick-off meeting to sending of final response documents, ensuring milestones and deadlines are met

Using the RFP database and other resources to research and prepare responses

Tailoring standard responses for individual clients as needed

Working with subject-matter-experts and relationship teams to source information and collaborate on putting forth strong responses

Proposals Management database

Ensuring new and updated information is added to the Proposals Management database

Liaising with other business areas to maintain the factual content of the Proposals Management database

Administration

Maintain Detailed Procedural Analysis Documents (DPADs) as needed and ensure that any change in the process is updated in the DPAD in a timely manner

Participate in Root Cause Analysis (RCA) to address issues identified by the team and prevent the recurrence of identified issues

Respond flexibly to the needs of the current situation, amend own work program to deliver client requirements

Provide support to management in the implementation of strategic initiatives and achievement of business goals

Identifies opportunities for process or operational efficiencies to boost productivity

Encourage team members to consistently think of ways to mitigate risk in the course of operations

Actively drive and deliver productivity and efficiency initiatives implemented by the team

Deliver on opportunities to reduce cost and FTE savings to meet the yearly productivity targets

Skills

Excellent standard of written English and the ability to edit and tailor text to ensure accuracy, consistency and readability

Ability to work in a deadline-driven environment, to multi-task and to manage conflicting priorities

Strong MS Word skills

A working knowledge of the broad asset servicing/global custody needs of corporate clients, investment managers and financial institutions

Detail-oriented with a high level of accuracy and organization

Excellent communication skills

Empathetic and easily able to establish rapport with others

Experience and Qualification

Bachelor’s degree required

5-7 years of experience in the field of financial services, content management, project management, writing, communication or related work experience

Experience with proposal writing and proposal writing software is a plus
