Proposal Manager
Overview As a Proposal Manager, you will ensure that all internal and external requirements of the proposal are met, from the receipt of inquiry to contract award. In addition, you’ll establish and maintain robust documentation practices that benefit all project stakeholders, ensuring the security and integrity of all proposal content. You will craft compelling proposals that secure new major project work and foster existing client relationships. With a keen understanding of both the technical and commercial aspects of MasTec’s major projects work, you’ll effectively bridge the gap between various departments, coordinating inputs from technical experts, commercial teams and management. By analyzing client needs and helping to refine proposal strategy, you’ll play a pivotal role in crafting narratives that highlight the company’s strengths and competitive advantages. Ultimately, you’ll not only drive the technical execution of proposals but champion the company’s vision, ensuring that every submission reflects a strategic approach to winning business. Responsibilities Establishes the electronic file structure, archive, and back-up procedures for all proposal materials. Establishes and documents electronic proposal file access and tracking protocols to ensure the security and integrity of all proposal documentation. Schedules, organizes, and leads internal proposal kick-off meetings with assigned technical and subject matter experts. Liaises with commercial, estimating, and technical teams, as well as other departments, to gather documentation required for proposal/prequalification submittals (rate sheets, contracts, schedules, safety, quality, etc.). Coordinates the day-to-day preparation of the proposal, holding regular progress meetings with the proposal team to ensure adherence to the established proposal plan and schedule. Identifies key problem areas during proposal development and reviews solutions with relevant stakeholders. Coordinates the internal flow and review of all proposal inputs and outputs, ensuring the appropriate personnel review and approval levels are in place prior to submission (complying with the Company’s Delegation of Authority). Acts as a point of contact with the Client, coordinating with sales and other commercial team members on all formal matters related to assigned proposals. Provides editorial support for research, writing, revision, and past performance updates. Helps develop and maintain an up-to-date proposal department resource library of proposal tools, documents, and graphics. Qualifications Bachelor’s degree in Marketing/Communications, Journalism, English or equivalent Five years of relevant experience in the construction industry, EPC work, major projects ($100M+), bid preparation and management, specifically in the electric power industry Skills Ability to coordinate and collaborate with technical teams Ability to facilitate collaboration, encourage creative problem solving, and navigate conflict. Ability to analyze complex RFPs to maintain compliance. Software Proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint and Visio) and Adobe Acrobat Ability to demonstrate initiative and assertiveness, the ability to plan and manage work in an efficient manner, and the ability to work well under stress and time pressure Well-developed written and verbal communication, interpersonal, influencing, attention to detail, and presentation skills Ability to work irregular schedule and long hours required to meet required deadlines. Travel Requirements Up to 30%
