Collaborate and coordinate with internal departments to maintain library of current and accurate content covering all areas of AireSpring business. Work with RFP Coordinator to develop specific responses to each individual RFP ensuring complete response to all questions. Coordinate outsourcing to individual departments and individuals for questions not covered in current response library. Schedule and coordinate regular content reviews with departments and subject matter experts to ensure the most thorough responses. Coordinate with Stop-Loss and Marketing on responses to Stop-Loss and audit questionnaires.   The incumbent is expected to communicate professionally with peers, supervisors, subordinates, vendors, customers, and the public, and to be respectful and courteous in the conduct of this position.   ESSENTIAL JOB FUNCTIONS:   Essential job functions include the following. Other functions may be assigned as business conditions change. Own the RFP response process, ensuring questionnaire is complete, cohesive, and of the highest quality prior to shipping. Coordinate with RFP Coordinator to maintain log of open RFPs and questionnaire needs Contribute to and communicate the strategic direction of the RFP preparation and coordination by performing the necessary research of the client, industry, competition, etc. Customize each RFP for the client's unique needs/Hot Buttons/Renewals (applying strategy). Offer alternatives and suggestions based on client research to position AireSpring in a positive light. Maintain comprehensive library of response content Schedule and track tasks related to the RFP questionnaire process Coordinate with RFP Coordinator for requests for information from departmental contacts with specific time lines to meet proposal deadlines Organize and participate with departmental contacts as needed for planning, follow ups, scheduling and document preparation Review RFPs with RFP Manager and RFP Coordinator to identify non-standard response needs and outsourcing requirements Assist the departmental contacts with establishing response parameters for accuracy and consistency Incorporate all relevant information into proposal making sure the content is compliant Review, proofread and synthesize final proposal's content Coordinate with RFP Coordinator to prepare and deliver final RFP for on-time submission Assist RFP Coordinator and RFP Manager with follow-up requests Track and update your manager on RFP's through the process Analyze results periodically and inform manager of trends to improve outcomes based on organizational goals and priorities Coordinate back up resources when there are conflicting deadlines, workload or priorities that require additional support and communicate that to manager Maintain all electronic and/or hard copies of RFP files based on the companies retention policies Contribute to the daily workflow with regular and punctual attendance Establish and develop a "template" for standard responses and periodically update responses based on new organizational goals or priorities     JOB SPECIFICATIONS:   To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.  Minimum Education: High school diploma or GED equivalent plus four year college degree with a concentration in Communication, English or Writing preferred.   Certification(s) Required: None   Minimum Experience: Two years experience preparing proposals, agreements or other documents in a highly organized administrative environment in a complex environment with a focus on project management. Experience with Government and/or other Public Sector work preferred     Exceptional written communication skills required Advanced knowledge of healthcare and specialty product lines, major funding vehicles and benefit administration. Strong analytical and organizational skills Excellent proofreading and editing skills Strong PC skills, including Windows, Word, Excel, Access and Adobe Acrobat Must be able to adapt to software changes as they occur Must be self motivated, proactive and resourceful with the ability to exercise sound judgment Must be able to actively listen and contribute to workflow High level of interpersonal skills to collaborate and work effectively with others Excellent project and time management skills Ability to compose and review documents for quality, voice, spelling and grammar Ability to handle multiple projects in time sensitive environments Ability to organize and recall large amounts of detailed information Ability to project a professional image and positive attitude in any work environment Ability to comply with privacy and confidentiality standards Ability to be flexible, work under pressure and meet deadlines Ability to analyze and solve problems with professionalism and patience Ability to operate typical office equipment The above statements are intended to describe the general nature and level of work being performed.
