Job Title: Purchasing Administrator
Job Description

We are seeking a skilled Purchasing Administrator to join our team. The ideal candidate will provide strong administrative support across all departments and manage data, prepare reports, handle correspondence, and facilitate effective communication. This role requires continuous learning and mastery of department-specific software and effective interaction with vendors and sales representatives to ensure efficient procurement and inventory management.

ResponsibilitiesProvide strong administrative support across all departmentsManage data, prepare reports, handle correspondence, and facilitate effective communicationCoordinate with Prepress, Post Press, and Logistics Leads as well as Quality AssuranceContinuously learn, master, maintain, and optimally utilize the department’s Estimating MISProduce accurate, timely quotes maximizing efficiencies of estimating softwareBuild strong rapports with sales representatives utilizing excellent written and verbal communication skills, evaluating options, and providing creative recommendations to accommodate prospective price points while minimizing wasteMaster Purchasing, Inventory, and Invoicing MIS software according to established protocolsContinually procure consumables required to meet all planned printing ordersProactively interact with vendors concerning paper production and adequate inventoryReconcile comprehensive monthly paper roll inventories and roll valuationsConsult with vendors and sales and operations personnel across departments as necessaryUnderstand established customer sales, workflow, production, and delivery processesAttend operations meetings in person or by remote video conferenceTroubleshoot complex technical problems with appropriate support staffMaintain and develop principles of Continuous ImprovementPerform other duties as assignedEssential Skills2+ years of administrative experienceExcellent written and verbal communication skillsScheduling and coordinating skillsUnderstanding of a production environment, operations planning, printing, and packagingIntermediate to advanced Excel skillsExceptional listening skillsMeticulous attention to detail and ability to multitaskAbility to think and write critically, accurately, creatively, and effectivelyAbility to self-train and implement multi-layered administrative software applicationsAbility to work well under deadline pressure with adaptability and flexibilityAbility to work within, develop, and maintain standard operating proceduresAbility to anticipate questions and concernsAdditional Skills & QualificationsEstimating and Purchasing experience preferredCustomer service skillsWork Environment

This is an onsite full-time position with the possibility of working holidays. Flexible start and end times can be accommodated. The work environment has a high noise level.

Pay and Benefits

The pay range for this position is $24.00 - $28.00/hr.
