Purchasing Clerk

The Purchasing Clerk processes purchasing transactions and maintains inventories of materials, equipment, supplies, and products.   

Required Knowledge, Skills, and Abilities

Must have a comprehensive knowledge of service standards, guest relations, and etiquette.Must have a comprehensive knowledge of the English language to effectively communicate with guests and associates.Must have excellent mathematical and computer skills.High school education and relevant training and experience required.  Additional education preferred.Ability to communicate effectively with guests, vendors, and other associates.

Physical Requirement:

Minimum lifting of 50 pounds.Pushing, bending, stooping, upward reaching, manual dexterity.Minimum pulling of 50 pounds.

Duties include: 

Prepare and/or review purchase requisitions/orders as required.Assist in tracking purchasing activity and measurements, identify and discuss defective and unacceptable new goods or services with users, vendors, and others to determine cause of problem and take corrective and preventive actions.Source price quotations and prepare purchase requisitions/orders.Process purchase requisitions/orders within purchasing authority.Monitor inventory levels and reconcile physical inventories with records.Generate and/or review inventory reports.Match purchase requisitions/orders with invoices and forward to accounts for payment processing.Expedite and follow up with suppliers to schedule deliveries, resolve material, value discrepancy, outstanding and overdue delivery of orders, warranty claims and damage, and return of materials. Prepare and maintain purchasing files, reports, and price lists.Maintain stock rotation using various approaches such as ‘last in first out’ (LIFO) and ‘first in first out’ (FIFO), and dispose of, and account for obsolete stock.Enter data for production scheduling, stock replenishment/relocation and inventory adjustments.Work with internal and external stakeholders to determine supply needs, quality, and delivery requirements.Develop and maintain constructive and cooperative working relationships with others.Any other duties assigned by the manager or supervisor.Mainsail is an Equal Opportunity Employer and it does not discriminate on the basis of actual or perceived race, color, religion, national origin, ancestry, citizenship status, age, sex or gender (including pregnancy, childbirth and pregnancy-related conditions), gender identity expression (including transgender status), sexual orientation, marital status, parental status, military service and veteran status, political affiliation, physical or mental disability, genetic information, or any other characteristic protected by applicable federal, state or local laws and ordinances.
