Job Description Overview: As a Purchasing Coordinator, you'll play a vital role in supporting our construction teams by managing essential purchasing documents. You'll handle everything from creating and tracking contracts and purchase orders to distributing key documents that ensure our onsite trades have what they need to keep projects on track. You'll be a key connection between Trade Contractors and Site Managers, helping to maintain smooth workflows and build strong partnerships. Key Deliverables: + Maintain Trade Data Source, BRP Contacts & FOC Contacts – add new vendors contact info, initiate updates and implement revisions + Issue and track Master Trade Agreements, Scopes of Work and Addendums through execution using DocuSign; save fully executed documents + Issue and track Contracts and Change Orders through execution; save fully executed documents + Update Trade Partner lists throughout the contract process,; distribute to construction, as changes are made + Track Trade contractors licenses, Certificates of Insurance and city business licenses, as required + Process starts based on start reports + Issue and distribute Purchase Orders for Purchasing and Design; email to Trade contractors + Log and track design issues and errors on the Package Issues Log that need to be addresses prior to processing the package + Log and track design issues and errors on the Package Issues Log received from Trades and follow up with Design + Process packages and email PO’s, vendor schedules and diagrams to Trade contractors & Site Managers per FLOW + Process invoices after cut-offs in a timely manner, through APR System + Create Excel Bid Lists & Outlook Distribution Lists + Attend weekly Purchasing meetings and assist with the team as needed. + Work with internal departments and Trade contractors to troubleshoot issues/extras + Will use Microsoft Word, Excel, Outlook, Adobe, Build Pro and New Star What You Bring: + 3-5 years of experience in contract administration or a related field.
