Job objectives and responsibilities

Reporting directly into Mitie's client team, the role involves the administrative support of the health and safety function covering all properties and operating companies in the UK and Ireland. Previous experience in a health and safety related role is required and you will work closely alongside the H&S Manager and other QSHE Administrators as part of the team.

 

 

Main duties

o   Liaison with colleagues and HR for support with queries on training via the internal learning platform

o   Liaising with colleagues to arrange external H&S training

o   Initial point of contact for queries from training providers

o   Monitor the compliance management system and report on actions/status

o   Produce summary reports for internal meetings

o   Liaise with auditing team to create and track against an audit schedule, request quotations for audits and, act as their main point of contact and support with invoice queries.

o   Monitor the shared H&S and Accident Reporting inbox – responding to queries, arranging DSE assessments and furniture orders, first aid supply ordering.

o   Advising colleagues on the process for occupational health referrals and workstation assessments

o   Other general admin duties – taking meeting minutes, issuing agendas and room bookings, ensuring H&S reports are uploaded etc.

 

Flexibility is required as business requirements change, and the post holder will be expected to pick up admin related projects or tasks commensurate with the post.

 

 

Person Specification

•       NEBOSH or IOSH Qualifications desirable.

•       Excellent communication skills both written and spoken.

•       IT literate and confident working with a range of platforms

•       Excellent organisational skills

•       Confident working independently and as part of a team

 

 

Health and Safety responsibilities

•       Follow Group and company policies and procedures at all times;

 

•       Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;

 

•       Use all work equipment and personal PPE properly and in accordance with training received;

 

•       Report any issues or training needs to your Line manager and /or via your divisional incident reporting system;

 

•       Actively promote safe working culture within your team

 

 

 

 Level of Authority

The job holder will have the authority to carry out their role on a day to day basis in accordance with all prevailing company policies.  The job holder will have authority to incur expenditure and to agree legally binding commitments on behalf of the company but these must be in accordance with the company authorisation limits, which are determined by the Authorisation Register.
