EY GDS is seeking a highly skilled and detail-oriented Real Estate Lease Administrator with a strong legal background or extensive knowledge of Real Estate lease agreements to join our team. The successful candidate will play a pivotal role in administering leases and subleases, managing rent payments, and providing essential support to internal stakeholders. This position requires exceptional stakeholder management skills, the ability to coordinate complex tasks, and a meticulous approach to documentation and compliance.

 

Key Responsibilities:

Administer and manage EY's lease and sublease portfolio, ensuring comprehensive oversight of office locations. Abstract leases and subleases with a focus on legal accuracy, capturing key terms and conditions in a clear and concise manner. Oversee rent payments and sublease invoicing, ensuring timely transactions and meticulous financial tracking and reporting. Perform desk audits to verify compliance with lease terms, identify cost-saving opportunities, and maintain high-quality standards. Maintain and enhance the real estate database (IWMS Tririga), guaranteeing data integrity and accuracy for all property-related information. Manage standardized lease abstraction processes, including quality reviews and checks of templates from external vendors. Liaise with external vendors to ensure consistent adherence to standardized processes and maintain high-quality deliverables. Handle reporting on lease abstraction, track progress, and address any ageing or quality issues. Provide updates and reports on abstraction templates and processes to Area and Regional Real Estate Leaders. Support and contribute to the standardization of the Rent Payment process across regions. Serve as a point of contact for Real Estate leaders, assisting with lease administration activities and addressing related queries. Support Real Estate and Facilities Management (FM) personnel, including Region Directors of Administration, Business Managers, and Location Managers. Develop and maintain lease-related reporting and analytics for stakeholders. Collaborate with cross-functional teams to drive solutions and enhance lease administration processes. Identify and implement opportunities for process simplification, streamlining, and automation.

 

Qualifications:

Bachelor's degree in Business Administration, Real Estate, Finance, Law, or a related field. A minimum of 4 years of experience in lease administration, with a preference for candidates with a legal background or strong knowledge of lease agreements. Proficiency in real estate software, including IWMS Tririga and Mercury SAP will be an added advantage. Exceptional attention to detail and the ability to manage multiple tasks and projects simultaneously. Excellent communication, negotiation, and stakeholder management skills. Self-motivated with a solution-oriented approach to challenges and a commitment to quality. Ability to work independently and collaboratively within a team environment.
