The Role

The primary function of the Real Estate Projects Assistant is to support the Real Estate Director on all

administrative and project-related tasks. In addition to meeting scheduling, expense reporting, and all other

typical assistant tasks, this position’s tasks will include the following:

Review draft presentation materials for accuracy

Aggregate data and prepare initial charts or tables

Research of project related materials or information

Coordination of team events or travel

Data entry, as needed

Responsibilities

Administrative Support: Manage complex calendars, schedule meetings, and coordinate travel arrangements for the team.

Call & Email Management: Answer and screen calls professionally, manage correspondence, and ensure timely follow-ups.

Expense Management: Process invoices, reconcile expense reports, track project budgets, and assist in financial reporting.

Document & File Management: Organize and maintain project documentation, contracts, and reports, ensuring easy access and version control.

Vendor Coordination: Liaise with external vendors, property managers, and contractors to schedule meetings and manage documentation.

Qualifications

2+ years of experience in an administrative or support role, preferably in real estate, project management, or corporate environments.

Strong organizational and time management skills with the ability to prioritize effectively.

Professional demeanor with excellent written and verbal communication skills.

High level of discretion and ability to handle confidential information.

Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and project management tools.

Ability to anticipate team needs and take proactive steps to support workflow.

Strong problem-solving skills and the ability to work independently with minimal supervision.

Experience in real estate, construction, or facilities management is a plus.

Familiarity with financial tracking and budget reconciliation.

Ability to manage multiple projects in a fast-paced environment.

Location: This is a hybrid position based out of our Los Angeles, CA office.

Compensation: The base hourly rate for this position is in the range of $22.00 - $28.00. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria. Please talk with a CAA Recruiter to learn more.
