The Real Estate Portfolio Administrator is responsible for processing all information and ensuring data accuracy of all leased and owned property data. They serve as the central point of contact for assigned sites, oversee key lease dates, ensure contractual obligations are met and validate all site costs incurred are aligned with lease or contractual obligations. Centrally track key lease dates and work with local leadership to develop real estate strategies (exit, extension, expansion, etc.) tied to lease milestones.
What You Will Do:
Portfolio Management - manages the database that serves as the single source of truth for property data including all the key data elements about the property, the lease requirements and overall portfolio data. They act as a control point for ensuring updates are made timely and accurately. They are also on point to approve the payment files as being in sync with the lease documents, Capital Authorization Requests (CAR) and invoices as processed.Financial Analysis – Review monthly portfolio spend and trend analyses to assist with forecasting future spend and identifying potential opportunities for cost savings.Reporting - Monthly reporting will include items such as upcoming lease action dates and other critical date management. This position will also utilize their relationship with the business and coordination with the Transaction Management Team to ensure that lease actions are taken in a timely fashion. Portfolio Managers will also be responsible for overseeing annual audits of lease operating expenses to ensure landlord accountability and accuracy of charges.Landlord Liaison - ultimate point of contact for landlord communications. This position will monitor those sites that should be receiving invoices to ensure that they have come in on a timely basis. They will also be on point to ensure that all payments have been made in a timely fashion.Data Accuracy and Compliance - responsible for certifying the accuracy of the data for assigned properties to be used in the ESG reporting program.Portfolio Strategy - The Portfolio Managers will be called on to perform one off analysis in support of site decisions and developing future strategies.Other Real Estate Administration - The role will be responsible for other items such as: Estoppels, Audit notification letters, Security Deposit returns, etc.Oversite of Lease Administration Activities – This role will coordinate the activities of the lease administrators for selected locations such as abstractions and invoice processing.What’s In It For You:
