Purpose of the position
The RE&WE Excellence role is responsible for embedding excellence initiatives across RE&WE, including across RE&WE finance metrics, focusing on cost optimization and driving continuous improvement. They will support the creation of budgets and continually monitor budgets, forecasts and actuals – developing strong relationships and collaborating with both internal stakeholders and suppliers. They are responsible for developing processes and thresholds to identify anomalies in expenditure – escalating these to RE&WE leadership as necessary.
They are responsible for developing all RE&WE excellence reporting, including financial reporting aligning to broader organizational timelines and requirements to provide oversight of financial management.
Core Tasks Responsibilities & Authority
Budgeting and forecasting
Provide support to the Head of Real Estate and Workplace Experience in the development of the RE&WE budget, aligning to broader Astellas budget thresholds and financial year timelines. Stakeholder engagement across RE&WE and with suppliers to ensure budget accuracy and coverage of all projects and programs in progress. Spend forecasting for full financial year including expected timeframes for expenses. Adjustment of budgets and forecasts throughout the financial year as required
Financial reporting
Stakeholder engagement to establish and agree financial reporting requirements, collaborating and liaising within RE&WE, with broader Astellas stakeholders and with suppliers. Support the Head of Real Estate and Workplace Experience to provide ad-hoc financial reporting as required Ad hoc financial reporting inputs into ongoing projects and programs as required.
ROI and Savings Initiatives
Develop savings targets across the department and design initiatives to achieve targets. Create regular and accurate tracking of project investment metrics including ROI to optimize cost management. Embed a culture of cost optimization across RE&WE, through a focus on maximizing ROI and encouraging and implementing savings initiatives
Actuals review
Regular and proactive monitoring of actual expenditure against budgeted spend – per cost line item and time period. Work with internal and external stakeholders to ensure accuracy. Regular and proactive monitoring of cost allocations and application of adjustments as necessary. Review adjustments with stakeholders within Astellas and supplier organizations to ensure future accurate cost tracking. Identification of anomalies in expenditure and development and implementation of a review process to escalate major anomalies. Resolution of any disputes and escalation as necessary. Full annual review of budgets and actual expenditure. Identification of key changes and discrepancies and development of recommendations to be incorporated into future budgets.
Cost Management and Benchmarking
Develop cost thresholds and guidelines for regular expenses, incorporating external benchmarks where possible. Undertake regular cost benchmarking for work orders against cost thresholds to ensure cost efficiency. Incorporate cost thresholds and lessons learned from previous years’ budgets and actual expenditure into budget development.
Financial Analysis and Insights
Undertake financial analysis as required by RE&WE leadership or broader RE&WE team members, providing clear, summarized insights in the format required. Present information using dashboards (e.g. PowerBI) as requested.
Continuous Improvement Initiatives
Focus on continuous improvement throughout all responsibilities, developing and implementing continuous improvement initiatives across the role. Work with internal stakeholders and suppliers to embed continuous improvement across RE&WE.
Compliance
Embeds Compliance Culture across all regions of the business ensuring Integrity in Action is actively applied in all initiatives. Ensures team strictly adopts a culture of ethics and compliance; leading by example and appropriately challenging non-compliance. Ensures adherence to Astellas policies relating to Ethics and Compliance standards and interactions with Healthcare Professionals (HCPs), Healthcare Organizations (HCOs) and Patient Organizations (Pos).
