JOB DESCRIPTION SUMMARY

 

Under the direction of Trust Services management, the Realty Specialist will process sublease assignments, encumbrances, and other related transactions affecting leaseholds on Tribal and individually allotted trust lands. As leasing transactions processed through Residential Leasing are subject to approval by the Bureau of Indian Affairs (BIA), the Specialist will strive to ensure each transaction complies with departmental policies, regulations, and applicable statutory laws prior to submittal for the BIA’s final review and approval.  Additional routine responsibilities will include completing research tasks and analyzing information from many sources (including, but not limited, to federal records, county records, and BIA’s TAAMS) and preparation of correspondence, notices and reports in draft and final form.   As needed, the Specialist will review transactions completed by other staff to assess for accuracy of transactions, completeness of work, and adherence to procedures.  The Specialist provides guidance and training to Residential Leasing Assistants and Realty Clerks related to processing individual transactions and direct assistance to the Trust Services Supervisor and Director as needed.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES (other duties may be assigned)

 

Prepare and process leasehold assignments and related documents in compliance with applicable timeframes, statutory authorities, regulations, policies and procedures. Clearly and concisely communicate with clients and other interested parties about the process, requirements, remedies, and status related to their transactions. Perform complex research and analysis to provided underlying support for transactions. Review documents prepared for approval by other staff as needed to verify correctness. Provide guidance and training to Residential Leasing Assistants and Realty Clerks. Prepare administrative items such as “approved-as-to forms” and others as assigned. Encode sublease transactions and updates into the BIA’s system of record (TAAMS). Organize, update, and scan files and forms into the departmental and BIA systems. Maintain departmental trust records in accordance with Federal Standards. Provides front desk reception, assistance, and routing of phone calls, as needed. Provided direct administrative and research support to Management. Other duties and responsibilities as assigned.

 

 

QUALIFICATION AND SKILL REQUIREMENTS

Experience analyzing leasehold transactions, chain of title, encumbrances and related. Strong knowledge of computer applications (Word, Excel, Windows). Knowledge and ability to research analyze and summarize records from various sources. Strong knowledge of computer applications (Word, Excel, PowerPoint, Google Mail). Working knowledge of Bureau of Indian Affairs (BIA) TAAMS a plus. General knowledge of Federal laws and policies affecting Indian trust lands a plus. Knowledge of contracts and contract language desirable. Strong English usage, spelling, grammar and punctuation skills required. Experience in handling and keeping confidential and sensitive information. Knowledge of basic mathematical principals. Knowledge of basic filing methods and organizational ability. Ability to meet schedules and time lines. Must possess a valid U.S. driver license. Must comply with applicable training and security requirements.
