POSITION SUMMARY:
The Receptionist, Executive Office is primarily responsible for administrative and office support duties at the Executive Office and overall assistance to management and guests to facilitate the efficient operation of the organization.
PRIMARY RESPONSIBILITIES:
Performs general clerical duties including photocopying and scanning, filing and shredding, ensuring the cleanliness and upkeep of the Executive Office.Assists the Executive Office in coordinating meetings, travel arrangements, restaurant reservations, etc.Answers and politely screens phone calls and transfers the same to the right party.Receives and assists Executive Office visitors and clients.Maintains electronic and hard copy filing systems, and prepares an updated filing list for easy reference/access.Assists in handling requests for general information and allowable data, but maintaining the needed confidentiality.Assists in the preparation of assigned correspondence, reports, drafts, memos and emails.Sorts and distributes incoming mail and correspondence.Maintains office supply inventory and Property President’s pantry requirements.Coordinates repair and maintenance of office equipment, furnishings, etc.Coordinates, arranges and maintains attendance/leave schedules for Executive Office staff, billing records and payments, petty cash requirements and timely liquidations, international roaming, enrolment/renewal of memberships and subscriptions, filing up various forms, etc.QUALIFICATIONS:
Experience
Minimum 1 year of experience in an administrative role, preferably in the hospitality industry or a multinational corporation environment.Education
College GraduateSkills / Competencies
Fluent in English; excellent verbal and written skills.High level of computer skills (Outlook, Excel, Power Point).Knowledge in office and calendar management, confident in dealing with guests and taking phone calls, maintains a good filing system.Other Attributes
