A day in the life.

The Receptionist is responsible for answering a multi-line phone system and directing calls as appropriate, greeting visitors, opening and distributing mail, managing supplies, supporting teams with presentations, understanding basic technology for meeting rooms, and providing general office support.  This position requires the incumbent have the ability to exercise independent judgment and discretion in matters involving day to day responsibilities.

This is role is in person based in our Livonia, MI office. Other responsibilities include:

Pleasantly welcomes and greets all clients and visitors at reception area.Answers, screens, and routes telephone calls; responds to general inquiries from clients.Maintains reception area, conference, storage, print rooms and kitchen in good order and reports any defects or needs to facilities and/or building maintenance. Maintains and updates the lobby monitors.Assists with general conferencing technology set-up and troubleshooting in meeting rooms.Requests temporary Wi-Fi access for guests.Completes weekly inventory of office supplies.  Receives and stores inventory orders.Researches, prices and orders office, printer, mail machine postage, coffee and binding supplies.Maintains paper supply for all printers and postage supplies in the mail area.Manages the use/reserving loaner technology equipment (projectors, loaner laptop, cameras, etc).Performs general clerical duties to include but not limited to: typing, photocopying, faxing, printing and mailing.Documents incoming cash receipts, tracks client/vendor checks and routes to accounting team.Receive, sort, and index incoming mail. Responsible with the preparation of outgoing mail.Coordinates the pick-up and delivery of express mail service (UPS).Coordinates food and beverage orders and sets up office lunches for various meetings and special event celebrations.  Cleans up after meetings as needed.

High School Diploma preferred.Two to three years prior Receptionist or Office Management experience essential.Excellent computer skills — Microsoft Word, PowerPoint, Excel, Outlook and Internet software.Comfortable learning and guiding others on Zoom Conference basics.Excellent written and verbal communication skills.Energetic and positive energy to create a welcoming environment.Ability to keep sensitive information confidential at all times.Flexibility to arrive early and stay late, as needed.Strong and pleasant telephone and interpersonal skills, and the ability to deal professionally with clients and co-workers on the phone and in person.Ability to work in a proactive manner to consistently deliver high-quality work.Excellent organizational and time management skills, ability to take initiative, use good judgment, demonstrate a strong sense of urgency and carry multiple projects through to completion.Ability to work under pressure with tight time constraints, as well as the ability to deal with frequent interruptions, unresolved situations, frequent change, delays or unexpected events.Ability to maintain a mature, problem-solving approach; general knowledge of “how to get things done.”
