\nAs our Receptionist, you’ll play a key role in supporting our team with clerical and administrative tasks while serving as the primary liaison for Community Managers and homeowners. You’ll also interact with vendors, board members, committee members, and staff from Associa and our branch office.

\n\nPLEASE NOTE: This position follows a required on-site schedule, Monday through Friday from 8:00 AM to 5:00 PM. Remote or hybrid work options are not available for this role.
\n\n\n\nFront Desk & Visitor Management
\n\nGreet and assist visitors in a professional and friendly manner\nAnswer and direct incoming phone calls\nMonitor and respond to the front desk/intercom or doorbell system (Ring)\nHandle appointments\nMaintain and reserve the front office conference room calendar\n\nMail & Communication Management
\n\nProcess outgoing mail\nSort, Scan, and distribute incoming mail\nCoordinate mailings of notices and community communications\nPrint and laminate community notices or internal postings as needed\nMonitor and manage the company’s general email inbox, ensuring timely and thorough follow-up or redirection\n\nOffice Supplies & Equipment Support
\n\nRegularly restock office supplies, including:\n\nPrinter paper and toner\nPitney Bowes postage machine supplies\nMailing labels and envelopes\n\nCoordinate supply orders and maintain inventory with office coordinator\nEnsure equipment is functional and notify appropriate staff of maintenance needs\n\nErrands & Operational Support
\n\nPickup and drop-off tasks as assigned (e.g., fobs, checks, folder etc)\nSupport team members with document preparation or administrative tasks as needed\n\nKitchen & Common Area Maintenance
\n\nKeep kitchen area clean, organized, and stocked (e.g., coffee, utensils, paper products)\nMaintain cleanliness of shared spaces\n\n\n RequirementsRequired:\n\n\nProfessional communication skills (phone, interpersonal, written, verbal, etc.).\nProfessional customer service skills.\nKnowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.\nKnowledge of general office equipment (copier, fax, phone systems, etc.).\nConfidentiality and discretion in the performance of all duties and responsibilities.\nSelf-motivated, proactive, detail oriented and a team player.\n\n\nEducation & Experience\n\n\nHigh School Diploma or GED Required.\n1 -- 3 years of directly related or closely related experience\n\n\n\n\n\n
