Represent the firm in a professional manner by greeting and assisting clients, the public both on the telephone and in person and colleagues with courtesy and consideration. Handle incoming, outgoing mail, faxes, Internet, scanning, daily deposits, supplies, perform general office duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Attend work regularly as scheduled to assure proper availability of the office to customersOpen reception area and office by the required office opening time each day and closes the reception area at the end of the dayPresent a friendly, professional demeanor at all timesAnswer incoming telephone calls, forward calls, deliver messages, mail and faxes to appropriate personnel or department in a friendly and professional mannerAnswer questions about organization and provide callers with address, directions, and other information as requiredWelcome on-site visitors, determines nature of business, and announce visitors to appropriate personnelProvide processing assistance to department when requested by management such as proposals, spreadsheets, etc.Prepare Automobile ID cards, declaration pages, lost policy release forms, summaries of insurance, schedules of insurance, etc.Additional clerical duties as assigned in support of various departments and special projects such as processing, scanning, filing, photocopying, and collatingPick up from post office or receive, sort, date stamp, and route mail or packages to appropriate personnel, scan all mail into system and distribute appropriatelyPrepare all overnight packages to send outWill organize outgoing mail, separating mail to insurance carriers, other offices, and prepare for pickupMay order, receive, and maintain office supplies, coordinate maintenance of office equipment with vendorsMaintain local contact lists or directoriesWillingness to learn and grow with the agencyREQUIREMENTS:
