About the role

Reporting to Sales Support Manager, you will be the first point of contact for our recent Southern Europe Innovation Centre in Barcelona. In this international setting, you will support our dynamic team by managing various tasks that keep the office organized. Your multitasking skills will be essential in maintaining a well-coordinated environment.

What you’ll be doing?

Your primary responsibilities will include:

Communication: Facilitate internal and external communication, managing phone calls, emails, and meetings. Office Management: Coordinate daily office activities to ensure smooth operations, coordinate external visits, maintenance and cleaning of the office & labs coordination, Coordinate with ICT to request IT devices, etc. Administration: Handle documents, filing, and correspondence, and oversee administrative tasks. Resource Management: Ensure the office and labs are stocked with necessary supplies and equipment. Event Organization: Support in the organization of company events, meetings, and conferences (meeting rooms setup, catering service, technical equipment). Staff Support: Provide support to staff, like onboarding new employees. Basic Accounting: Manage office expenses, prepare budgets, etc. Procurement: indirect procurement including new vendor selection, registration, PO creation, order tracking, and invoice management. What you can bring to the role Proven experience as a receptionist or in a similar role. Excellent verbal and written communication skills in both Spanish and English. Proficiency in Microsoft Office Suite. Strong organizational and multitasking abilities. Ability to work well with others and foster a positive office environment.
