Job summary:

Effectively manage the day-to-day admin of the reception area and office floor area providing a first class service in a professional and efficient manner, ensuring the first impression is of the highest standards whether in person or over the telephone.

Ensure services are delivered to the agreed service levels and to develop strong relationships with visitors and staff at all levels. This is a full-time role (40 hours a week). The working hours are 07:30-15:30 or 09:30-17:30 hrs.

Your responsibilities will include:

Meeting and greeting visitors to the building.Arranging of visitors passes as required and keeping close control of live ID cards and auditing these regularly.Advising staff of guest’s arrivals.Organising refreshments for waiting guests.Keeping the reception and break out areas tidy and fully stocked with newspapers and company literature.Answering the switchboard announcing all calls and taking messages as required.Booking of meeting rooms on behalf of staff and visitors when necessary and liaising with IT for telepresence bookings, video conferences etc.Checking the meeting rooms are clean and tidy at all times.Arranging of catering for all staff and lunch meetings and updating of menus as necessary.Assisting the housekeeping assistants with lunch orders on busy days as required.Ordering stationary, office supplies and consumables.Booking couriers and taxis for visitors and staff.Occasional booking of hotels, restaurants, theatre tickets etc. for visitors.Ensuring both the visitor and contractor/vendor management system is up to date at all times.Compiling daily and weekly critical contractors visitor list for the next week and handing to landlord concierge as well the CEO team.Reporting any maintenance/facilities issues to the helpdesk and / or landlord.Monitoring the assigned helpdesk jobs and ensure they are actioned within the set SLA times.Processing invoices and purchase orders.Entering files into the archive systemAssisting with admin duties as required.Any other ad hoc duties.

Your experience, knowledge and skills need to include:

At least 2 years’ relevant experience gained in a similar environment.Native Polish and Excellent spoken and written English language.Booking meeting rooms and dealing with senior executives in a blue chip corporate environment.Ability to demonstrate commercial awareness and customer service skills.Time management.Ability to understand and manage customer expectations.High level of personal organisation and self-motivation.Keen sense of customer service.Ability to logically deal with the unexpected and work through crisis situations.Organisation and multi-tasking skills.Maintaining a pristine appearance at all times.Competent user of Microsoft Office (Word, Excel, Outlook).
