Full-time regular-status employees are eligible to participate in the following benefits (these details are for information purposes and are subject to any policy or plan changes): Paid Time Off (PTO) Paid Holidays Medical Insurance Dental & Vision Insurance Flexible Spending Accounts (FSA) & Health Savings Accounts (HAS) Life insurance Short and Long-Term Disability 401(k) Plan & Employer Match Profit sharing Employee Assistance Program Tuition Assistance JOB SUMMARY: Under the supervision of the Executive Assistant, the employee will receive and direct guests, answer incoming calls, and manage incoming and outgoing mail; assist the administration department, along with senior staff and board members, with tasks when needed. **Schedule is Monday - Friday 8 AM - 5 PM, with Lunch from 11 AM - NOON** Responsibilities ESSENTIAL FUNCTIONS: Welcome visitors in person or by telephone and direct calls; Ability to meet and exceed our customers' expectations with strong interpersonal skills Superior attention to detail with the ability to multi-task Maintains a clean and safe work area Maintains front desk filing system Monitor and order office supply inventory and ability to lift items over 25 pounds Monitor and maintain the operation of office machines Assist with board meetings Perform other clerical duties such as filing, copying, collating, faxing, etc. Provide support to administrative and other departments Sorting and distribution of incoming mail and handling of outgoing mail Maintain reception/kitchen/workroom areas/closets/boardroom/meeting rooms and ensure inventory is stocked at all times Responsible for meeting room and teleconference scheduling Assist with preparation of events throughout the year Perform special projects as assigned Work, communicate, and place orders with a variety of vendors Other duties as assigned DOYON LIMITED CORE COMPETENCIES: Commitment to Excellence – Identifies what needs to be done and takes action to achieve a standard of excellence beyond job expectations. Qualifications REQUIRED QUALIFICATIONS: High School Diploma or equivalent experience Valid Driver's license, ready access to a registered vehicle and must be able to provide proof of state-required insurance on a registered vehicle PREFERRED QUALIFICATIONS: 1-year experience with basic PC proficiency and familiarity with MS Word, Excel, and PowerPoint 1-year experience using a multi-line phone system answering and directing inquiries in an organization with a high volume of calls 1-year experience in operating office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers WORKING ENVIRONMENT: The majority of work is performed in a professional office setting with a wide variety of people with differing functions, personalities, and abilities. PHYSICAL DEMANDS: The work is generally sedentary, requiring routine walking, standing, bending, and carrying items weighing less than forty pounds.
