ResponsibilitiesAs a Receptionist with Hines, the primary function is to perform reception tasks and assist Office Management. Responsibilities include, but are not limited to:
Handle telephone calls and messages, learn and manage the telephoneOpen, scan and distribute incoming mailHandle outgoing mail, normal mail, express mail or courierReceive visitorsArrange taxisBook conference rooms and clean up room upon visitors’ departure.Assist in organizing office meeting luncheonsDeal with various other issues as they arise (including telephone and mechanical such as copy, scan, fax, binding).Order suppliesProvide support to the entertainment team to organize eventPrepare office related invoices for OM (invoice and relative support documentation)Assist OM with administrative tasks as needed (copying, scanning, collect signatures, etc.) Qualifications
Minimum Requirements include:
A - level certification or equivalentTwo or more receptionist or related experience (non-manager)Ability to meet highest attendance requirements. Be the first contact with incoming visitors and as such, be representative of Hines’s imageStrong organisational and communication skillsVery good knowledge of MS Office is required. Ability to operate a personal computer, including Word, PowerPoint, Excel and OutlookExcellent knowledge of office equipment such as fax, scanner, copy machine, Use of conference tools (video & audio equipment)Excellent verbal and written communication skillsFluent in English is mandatory, French is a plus; any additional language will be considered as an assetAutonomous, conscientious and rigorousVery service oriented, able to interact with tact and diplomacy with colleagues and visitors Closing
