Receptionist - Position Description

Position Title: Receptionist 

Reporting To: Sales Director

Primary Purpose of Role:  maintaining a professional and welcoming front desk environment with inquiries on the phone and face-to-face while supporting administrative operations.

Primary Objectives:

Greeting clients, visitors, and staff with a professional and courteous demeanor and managing check-ins with efficiency.Managing a multi-line phone system to answer and redirect calls promptly while maintaining professionalism.Coordinating boardroom bookings and ensuring they are prepared and well-equipped for use.Maintaining a clean, quiet, and organized reception area that reflects the company’s commitment to high standards and professionalism.Assisting with administrative tasks such as filing, data entry, ensuring printer is maintained, papers loaded, managing post box, updating announcements using the displaced TV, and preparing documents or reports for meetings.Monitoring and ordering office supplies in collaboration with the facilities or procurement team using the in-house system (COUPA).Monitoring of company vehicles, maintenance, and petrol cards.Organizing company events/functions.Ordering and maintaining company refreshments (coffee, tea, water, etc....)Adhering to security protocols by managing visitor logs, issuing access tags, and monitoring building entry procedures.

Formal Education/Training/ Experience

Grade 12Certificate in Business Administration1 - 2 years experience in a receptionist role or general administrative role.

Qualifying Attributes

Exceptional verbal and written communication skills in handling client interactions and professional correspondence.Proficiency in Microsoft Office (Word, PowerPoint, Excel, and Outlook)Strong organizational skills with attention to detail for managing appointments and office tasks.Ability to handle sensitive information with discretion and maintain confidentiality.Strong problem-solving skills and the ability to manage last-minute changes efficiently.
