HUB South Florida is seeking an energetic and organized Receptionist to join our Coral Gables office! The Receptionist is responsible for lobby and reception coverage, administrative duties, administrative support, electronic mail distribution, checks and deposits and coordination of various tasks associated with the office and all management and staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES
+ Greets/directs all visitors
+ Phone management – field all call and transferring accordingly
+ Pick up, open, and sort all mail in the morning
+ Distribute all mail, emails, and faxes appropriately to CAM/PAM.
+ Checks – code and deposit; includes handling of commission checks
+ Produce daily reports to be distributed to CAM/PAM
+ Reconcile checks received
+ Works closely with Accounting and Employee Benefits team to properly deposit commission checks
+ Work closely with Executive Administrator
+ Organize, store and clean out all HUB hard copies
+ Maintain cleanliness of office space
+ Inventory supplies for office
+ Set up appointments for kitchen/office products when maintenance is required.
+ Handles “as-needed” administrative requests from producers, CAMS, PAMS which include but not limited to typing letters, stuffing envelopes, etc.
+ Other duties as assigned by your supervisor.
This position requires the incumbent to sit up to seven and a half (7.5) hours a day, work on the computer or other office equipment up to seven and a half (7.5) hours a day, and the employee may be required to work beyond a seven and a half (7.5) hour business day occasionally. The position is fast paced and required someone who is comfortable in a multi-tasking environment.
QUALIFICATIONS
+ 1 – 3 years of administrative office duties preferred
+ Detail-oriented
+ Great written and verbal communication skills
+ Proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook)
+ Ability to multi-task and prioritize duties
+ Excellent organizational skills
+ Bilingual
+ High School or Equivalent Degree
