Receptionist/Accounts Payable Clerk
Job Description

Position Overview: As the first point of contact this position plays a key role in providing a welcoming experience for visitors while supporting accounts receivable operations. This role is ideal for someone who is organized, proactive, and enjoys building relationships.


Greet visitors in a professional and friendly manner in accordance with established building access and security

procedures.

Manage and route incoming phone calls and manage mail services (Fed Ex, certified mail, etc.)Manage emails from the website ensuring they are routed to the correct individual(s)Maintain and order supplies for the office, kitchen, and cleaning supplies.Complete daily deposit for multiple companiesManage retention and expiration of Certificates of Insurance; reorder Certificates of Insurance as needed.Mail and/or email invoices.Manage PO logs for all plants – including coding invoices.Code and process resale hauler invoices; enter Norfolk Southern invoices.Manage ticket report.Complete credit references for customers and set up new customer accounts.Maintain confidentiality and handle sensitive information with discretion.Take initiative in problem-solving and time management while multitasking.Support the team with various administrative tasks and projects.

Work Experience
Previous experience in a receptionist or customer service role.Strong Microsoft Office experience required specifically Excell, Word and OutlookDetail oriented, organized and flexible. Ability to multitask.Operate standard office equipment on a regular basis including scanner, fax machine, copy machine and

computer.

Excellent communication skills (written, verbal and listening)Ability to work independently in a fast-paced environment.Time management to ensure tasks are completed in a timely manner.Positive attitude, team player, and willingness to learn.Strong work ethic, dependability, and ethical behaviorWork location: In office.

Education and Certifications

High School Diploma or equivalent

Critical Skills

Must be proficient in Microsoft Office Excel, Word, and Outlook
