In this role, the Receptionist will:
Answer all telephone calls as quickly as possible in a polite, personal, and friendly manner. Transfers calls appropriately to other department areas.
Monitor emergency system, directs staff to emergent situations, calls emergency personnel as appropriate, wellness checks when appropriate.
Assist visitors and see that they are directed to the appropriate individual, ensuring that all visitors/contractors sign in and wear appropriate badges according to policy and procedure.
Ensure that reception desk and lobby are kept clean and organized after each shift.
Facilitate resident transportation requests and maintain the transportation calendar with updates and communicate to the drivers and necessary staff in a timely manner. Places courtesy calls when necessary.
Assist residents in signing up for outside events, programs and activities throughout the month and collect any fees needed or updates and changes for the activity.
Is knowledgeable about all office equipment and can assist other staff, monitor equipment and office supplies, toners to reorder.
Monitor incoming packages from UPS,Amazon, Walmart and general mail delivery for Residents and campus. Inform IL Rresidents/departments of packages to pick up.
Computer skills required for data input for all maintenance requests into Worxhup system, maintain guest & transportation calendars, census reports etc. within programs. Communicate needs and request appropriate leadership or department staff of urgent situations.
Maintain necessary forms and complete monthly ancillary charge sheets in accordance with procedure. Submit Invoices into system as needed.
Support other departments in clerical duties as assigned by the HR/Business Office Manager.
Maintain employee Lunch ticket and cash. Assist with collecting monthly rent checks and statement following the process in place.
The ideal candidate will have:
High school education or equivalent.
Assisted Living & Residential healthcare knowledge and Concierge customer Service is helpful.
Highly organized, detail oriented with excellent interpersonal and communication skills both verbal and written in English.
Pleasant personality and telephone voice.
Ability to remain calm in an emergency situation.
Complete confidentiality with resident general information.
Knowledge of computers including Microsoft Office Suite.
Interest in and desire to work with older adults.
Compensation Pay Range:
$12.83 - $15.40 per hourReasonable Pay Estimate
A reasonable estimate of the pay range for this position is $12.83 - $15.40 per hour.
