Responsibilities:Provide end-to-end facility support for colleagues hosting visits, including ordering catering, reserving meeting rooms, and managing stationeryWelcome and direct visitors, ensuring a compliant check-in processAnswer and screen incoming phone calls and emailsReceive and sort mail, deliveries, and couriers, notifying relevant colleaguesMaintain security by following procedures, controlling access, and managing visitor registrationOrder, receive, stock, and distribute office and cleaning suppliesCollect and verify incoming invoices, uploading them to the ERM systemAssist with other clerical duties such as distributing internal communications, raising purchase orders, and filingOptimize meeting room facilities and liaise with IT for operational equipmentInvolvement in Facility teams’ tasks as backup. Assistance in Facility processes and activities.Requirements:Bachelor's degree in office administration, Management, or equivalent experienceProven experience as a receptionist and/or admin is an advantageExcellent verbal and written communication skills in EnglishProficiency in Microsoft Office Suite, with strengths in Word, Excel, and OutlookAbility to learn new IT and communications tools and systemsSkills:Self-motivated with a proactive approach to running a smooth office operationStrong attention to detail and ability to perform monotonous workDemonstrable customer service excellenceProven experience in organizing, multitasking, and prioritizing under pressureResourceful and proactive in problem-solving
