Job Responsibilities :

The Receptionist/Office Administrator is responsible for organizing and coordinating administration duties and streamlining office procedures. This role will create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, safety, and the smooth running of the office.

Essential duties and responsibilities:

Greet and welcome guests as soon as they arrive at the office.Direct visitors to the appropriate person.Monitor log books for guests, badges, company car.Answer, screen and forward incoming phone calls.Ensure reception area and all conference rooms are clean, presentable, and well-stocked with all necessary stationery and material (e.g. pens, forms and brochures).Provide basic and accurate information in-person and via phone/email.Receive, sort and distribute daily mail/deliveries.Handle outbound shipping such as label printing and pickup arrangement with carriers.Maintain Proof of Delivery documents and other shipping related administrative tasks.Keep up office security by following safety procedures and controlling access via reception desk.Order office/kitchen supplies and keep inventory of stock.Perform miscellaneous administrative duties for executives and oversea travelers.Perform other clerical receptionist duties such as filing, photocopying and faxing.Organize office operations and procedures including but not limited to maintenance, safety, mailing, supplies, equipment, bills, errands, and shopping.Coordinate the building space allocation and layout, communication services, and facility expansion and assist with construction project management.Manage contract and price negotiations with office vendors and service providers.Liaise with facility management vendors, including cleaning, catering, repairs and security servicesAddress employees’ queries regarding office management issues.Manage office G&A budget and ensure all items are invoiced and paid on time.Plan in-house and/or off-site activities, like parties, celebrations, and conferences.Partner with HR to assist in the onboarding process for new hires.Coordinate with MIS on all office equipment and the access badge distributionPerform clerical receptionist duties (welcome guests, answer calls, coordinate mail, shipping, supplies orders, assist employees, etc)

Proven work experience as a Receptionist or Office AdministratorProficiency in Microsoft Office SuiteHands-on experience with office equipment (e.g. fax machines and printers)Ability to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksAbility to lift 50 lbs.Customer service attitude

Salary Ranges (per annum):

$58,578.00 - $97,630.00
