As the Receptionist/Office Coordinator at KQED, you’ll be the primary point of contact for visitors and employees, delivering a professional and friendly first impression that reflects our vibrant culture.
In this multifaceted role, you’ll play a key part in supporting the President’s Office, coordination for staff related events, and providing assistance to our departments. Reporting to the HR Business Partner & Talent Acquisition Manager, you’ll have the opportunity to contribute across various areas, including front desk management, departmental operations, and employee engagement initiatives.

This role will be working in KQED's newly renovated headquarters (https://www.kqed.org/campaign21) . KQED requires employees to be fully vaccinated against COVID-19.
The successful candidate will be required to join National Association of Broadcast Employees and Technicians (NABET) Local 51.
Responsibilities include:
+ Front Desk Management and Employee Engagement
+ Welcome visitors and employees upon entering the building with a professional and friendly demeanor.
+ Support Human Resources and the President's Office by escorting visitors to their meeting locations or notifying the designated staff member to meet them.
+ Ensure visitors are promptly attended to and escorted as needed.
+ Address and resolve front desk inquiries or issues efficiently to maintain a seamless experience for all.
+ Provides general office support for the President’s Office, Human Resources, or other areas of the business as needed.
+ Plan and execute staff engagement initiatives and workplace support activities to foster a positive and inclusive work environment.
+ Update and maintain internal platforms, including Confluence Envoy Workplace Management, for the Human Resources and Facilities teams as needed.
+ Support for Human Resources
+ Supporting HR in Orientations, Health Fairs, Trainings, Events, Meetings.
+ Preparation and Coordination for Orientation included but not limited to:
+ Setting up workspaces for new hires in preparation for Day 1 Orientation.
+ Preparing new hire packet/gifts to be given out during Day 1 Orientation.
+ Welcoming new hires upon arrival in the lobby and escorting them to Orientation Room.
+ Collection of I9 Verification Identification.
+ Backup to the HR BP and TA Manager for giving tours and presenting to new hires during Day 1 Orientation.
+ Coordination, ordering, and overall management of KQED onboarding/recruiting materials.
+ Coordination and enrollment for HR related events including but not limited to: compliance training registrations, health fairs, staff training programs, orientation events, and meetings.
+ Meeting Logistics and Coordination for KQED training sessions. Ensures all required staff members complete the assigned training in a timely manner.
+ Coordination of Coffee Buddy Program.
+ Completion of New Hire Slides on All Staff Slide Deck.
+ Coordination and support for KQED Recognition Program.
+ Updating KQED HQ seating chart after workplace changes are requested in JIRA.
+ Facilities Operations and Support
+ Maintain and stock staff kitchenettes with beverages, snacks, plates, and utensils to ensure availability for employees.
+ Prepare fresh coffee each morning to support a welcoming and productive workplace.
+ Provide backup coverage for the loading dock to facilitate the efficient receipt and handling of deliveries.
+ Assist Facilities Department with workspace service needs including but not limited to: creating and replacing signage, labels, nameplates.
+ Monitor and Respond to Facility Slack Channel.
+ Office of the President Support:
+ Responsible for preparation of the President's Office Conference Room for meetings, events, etc. as needed ensuring that amenities are available.
+ Receives and/or coordinates catering deliveries for the President's Office or All Staff events put on by the President’s office.
+ Events Support:
+ Supplemental guest and catering management support for third party rental events.
+ Supplemental guest and food delivery support for major staff and Board events.
+ On-call audience events reception support
+ Other duties as assigned
Candidate Qualifications
+ 2-4 years prior experience as receptionist, administrative assistant or customer service experience.
+ Must be dependable and have good attendance.
+ Exceptional customer service and communication skills (Verbal and Written).
+ Ability to multitask and prioritize a variety of projects and tasks.
+ Must enjoy working with people and proactively look for ways to add value to the front desk operation.
+ Enjoy contributing to KQED’s mission by ensuring visitors and staff have what they need and helping others.
+ Exhibit strong interpersonal communication skills to connect with our team in a friendly and adaptable manner.
+ Ability to work well independently and as part of a team.
+ Experience greeting and directing clients, visitors and vendors.
+ Dress in professional attire appropriate for KQED, events, and other work-related settings, and maintain a positive approachable demeanor in all interactions.
+ Proficiency with Google Suites and Microsoft Office Applications.
