We are seeking an Administrative Assistant for an exciting new opportunity! This role starts early in the morning - but that also means you are done early (7am-3pm, Monday-Friday, in the office). It's a small company with a ton of room for growth. The role is a little bit of everything - reception, admin, office operations, and accounting. Annual salary ranges up to $60,000 depending on experience.Competitive vacation and benefits after probation.Professional development and lots of room to grow.Responsibilities:Calendar Management.Responsible for managing daily agenda, meetings, phone calls and appointment requests.Able to effectively reduce the administration time for the Managing Director.Manage all internal scheduling requests for calls and meetings.Establish daily work priorities and keep the Managing Director on task, as well as abreast of immediate priorities.Provide support in preparing and formatting presentation materials.Email management - responsible for managing, prioritizing, and responding when appropriate.Document management and filing - ie. financial filings and reports as well as general documents.Reception - manage all incoming inquiries and all guests to the office, as this role is based at the reception desk.Order office supplies and manage office vendors.Invoicing - act as the communication liaison between the external accountant and bookkeeper.Qualifications:3+ years of experience in an Administration, Office Management or an Executive Assistant role.Prior experience managing calendars, meetings and email responses.Completion of Canadian Securities Course or willingness to complete in the first year of employment.Admin experience in a financial institution is a BIG ASSET!Intermediate Microsoft Office skills; Word, Excel, PowerPoint.Proven ability to anticipate needs and meet deadlines. Must have a strong sense of urgency and effective time management skills.Excellent communication abilities; written and verbal.Strong attention to detail and highly organized.Must be able to pass a criminal and credit background check.
