What this job involves

Manage front desk operations, including handling inquiries and directing visitors.Coordinate meeting room bookings and manage schedules.Manage incoming and outgoing mail and packages, including coordinating courier services.Answer phone calls and welcome visitors, handling registration and assisting with taxi arrangements if necessary.Maintain cleanliness and order in shared areas, including the kitchen and client zones, with light housekeeping duties.Handle incoming invoices from garages, verifying details and contacting vendors to clarify cost responsibilities.Oversee vending machine maintenance and supply replenishment across office areas.Administer new hire onboarding processes, including badge issuance, company car handover (when applicable), and completion of related documentation.Coordinate meeting room reservations and requirements for both internal and external events hosted within the building.Monitor stock levels (office supplies, kitchen, janitorial), collaborating on orders as needed.Provide monthly event support, including preparing beverages, snacks, and post-event cleanup.Manage badge records and building access, ensuring timely returns for employee exits.


Qualifications:

Fluency in Flemish and French. Basic English proficiency is required.Prior experience in a front-of-house role would be highly advantageous.Basic computer literacy and familiarity with standard office software (Microsoft Office Suite: Word, Excel, Outlook).Collaborative team player with a focus on customer service.
