Summary of Work Activities and Responsibilities
Under the supervision of the Assistant Registrar, the Records and Registration Officer for Academic Advisement and Class Scheduling I is in-charge of facilitating the end-to-end class scheduling process.
Main Duties and Responsibilities
I Class Scheduling
Coordinates with academic departments for the submission of various requirements regarding class scheduling process
Equitably allocates classrooms and classroom resources based on class size and class requirements, ensuring conflict-free room assignments per semester
Ensures that class schedules, faculty assignments, and specific requirements adhere to the standard policies and guidelines
Assigns specific classes that are designated for assignment for particular majors, considering specifications for service learning and other programs
Coordinates with academic departments to organize cluster preparations, ensuring that class slots per cluster are adequate for the assigned blocks and that submitted classes do not overlap with NatSC, paired classes, etc.
Updates and finalizes schedule changes based on the Summary of Courses Offered and DissolvedClasses submitted by each academic department
Maintains the accuracy of the information systems by updating the AISIS modules including but not limited to: Class Schedule, Blocking, Minimum Loading or Underloading, Load
II Academic Advisement
• Executes academic advisement and ensures adherence to the academic guidelines or policies in compliance with the Ched approved curricula
III Blocking
Manages the block schedules for First Year students and Second Year students; ensures alignment of specific class schedules within the designated blocks
Builds conflict-free class schedules within the designated blocks and ensures that no more than four consecutive classes are assigned to any student
Monitors data on first-year confirmation and closely coordinates with the Office of Admission and Aid (Oaa) regarding updates on change of degree requests, withdrawal of confirmation, and late confirmation request
Prepares Intact schedules and collaborates with the Intact Coordinator for theassignment of formators
IV. Enlistment and Registration Support
• Facilitates enlistment activities for all advised classes of First Year and Second Year students
V. Load Revision Support
Manages the load revision process and ensures that proper documentation and endorsements are obtained
Coordinates with students and provides specific instructions and guidelines regarding the load revision process
VI. Final Examinations
Monitors the submission of the lists pertaining to final examinations (e.g. required number of examination hours per class, room requirements, type of examinations, etc.) from academic departments
VII. Section Management Support
VIII. Performs all other tasks assigned by the immediate supervisor and authorized representatives.
