Location: Basingstoke, RG21 4DZ
Contract: Full Time, Permanent
Shifts: 37.5 hours per week, Monday to Friday, rotating shifts between 8.30am to 6.00pm with 1 hour unpaid lunch break

Purpose of role
The Records Assistant is responsible for delivering exceptional customer service to our clients. Responsibilities include file and database maintenance, fulfilling client record requests and general office duties as needed. The Records Assistant will work closely with other members of the records team and the Facilities Manager dealing with requests.
Key responsibilities
Records
Collecting and inputting monthly reporting informationDealing with incoming records queries, amends and ordersDealing with our offsite storage provider Dealing with our offsite confidential paper shreddingPeriodic review of records eligible for destructionReview of legacy archives (both on database and those in store)Ensuring all paperwork and tracking sheets are correctly completed and recorded Compliance is always required with Williams Lea corporate standardsAll other adhoc duties/projects as assigned by the client, Facilities Manager or Senior records assistantOperations & Facilities
Managing a structured and efficient workflow for all service areas within your remitEnsuring that all service levels agreed with the client as part of the contract service delivery are achieved and continuously improvedRegularly reviewing services to ensure continuous improvement of their deliveryParticipating in cross departmental and site projects or other adhoc requests Actively participating in all on site health and safety audits and assessments and oversee compliance as requiredEnsuring operations reflect the initiatives set by the firm (sustainability and paper-lite etc.)Any other reasonable request made by Williams Lea management or the client Playing a flexible role assisting with records management, admin support and facilities services for the officeGeneral
To be aware of the day-to-day health and safety requirements surrounding working areaTo immediately raise any health and safety concerns to the Workspace and Facilities team and participate in any onsite health and safety audits or assessmentsAny other reasonable request made by the Facilities Manage/Admin Support Manager/Business Service ManagerPersonal attributes
