What is the opportunity?
We have an exciting opportunity for an experienced Recruitment Coordinator (RC) to join our office in Malaysia on a 12-month fixed term contract. This role will support the team of Senior Recruiters in Hong Kong in their management of the end-to-end recruitment process for Singapore and Hong Kong.
The RC also assists with the recruitment strategies in partnership with the Head of Recruitment, other Recruitment Coordinators, Senior Recruiters, and HR Business Partners. This will involve reporting and administration, including liaising with the business line managers / hiring managers and candidates to schedule interviews, taking responsibility for day-to-day support and advice, and various projects within the Recruitment function. The RC will assist in ensuring WorkDay systems are up to date with real time information and data.
What will you do?
Manage the creation of new requisitions and tracking of vacancies, publishing high quality adverts internally and externally with wording that is in-keeping with employment legislation.
Maintain data integrity on recruitment stats and Recruitment Management Systems (RMS such as WorkDay - e.g. adding employee IDs, salaries, agency fees, candidate source).
Assist the Senior Recruiters in Hong Kong and hiring managers with booking of interviews.
Support the Head of Recruitment with general administrative tasks, as required.
Assume responsibility for the completion of monthly, quarterly and end of year reporting.
Develop and maintain working relationships with HR Business Partners, Senior Recruiters and Hiring Managers to provide assistance with recruiting needs.
Assist the Recruitment team with generating candidate flow at all levels through internal postings, proactive networking (internal and external via LinkedIn etc), agency partners, careers fairs, recruitment job boards and researching and initiating other channels for direct hiring.
Manage internal employee referral programme, StarFinder, and follow up on ensuring referee bounty fees are processed and paid via Payroll team.
Monitor the shared recruitment mailbox and action any queries accordingly.
Process payments and track all invoices from third party suppliers in a timely manner.
Take responsibility for the initial screening of candidates, where requested.
Assist, where requested, in conducting the C&C (Conduct & Culture) final HR/Recruiter interviews for junior hires.
Act as bridge between hiring manager, new hire and On Boarding, fielding requests and queries so they are handed off appropriately.
What do you need to succeed?
Must-have
Experience within the recruitment field, either within an in-house HR environment, or in a recruitment agency.
A clear understanding of the recruitment process within a financial institution.
Some expertise at interview and assessment of candidates.
Strong interpersonal skills, and the ability to understand business and candidates wants and needs, and to match these effectively.
Good background experience and knowledge of WorkDay.
Reporting capability – from running reports off WorkDay, creating Excel spreadsheets and PowerPoint slides.
Nice-to-have
University educated or similar.
