Summary The Billing Supervisor is responsible for leading a Billing team to ensure the production is billed to the customer in a timely and accurate manner as per contract guidelines and requirements, and monitoring internal compliance per policy, procedures and administrative guidelines. Planning, analyzing and improving the billing operations to continuously streamline effective billing process across different projects. This position supports the Operations and Accounting team and works with staff from all departments. Responsibilities 1. Hire, lead, and oversee the Billing Associates team to ensure load leveling and timely completion. 2. Work directly with Management and Supervisors presenting work in progress weekly reports and streamlining the billing and collections process. 3. Maintains and/or ensures maintenance of client records related to invoicing and bill payment. 4. Reviews work of billing staff to ensure accuracy, resolving inconsistencies as needed. 5. Assist Area Managers with an overview of their Revenues, WIP, Accruals and DSO. 6. Review and resolve past due accounts with customers and items needing special attention. 7. Assist our Accounting Department tracking and collecting accounts on the Aging Report weekly. 8. Review and authorize Change Memos before they are sent to Accounting Department. 9. Monthly staff meetings to discuss and implement new changes/billing planning/personnel development. 10. Ability to manage multiple projects and contracts. 11. Provides customer support to customers with disputes or inquiries concerning invoices or billing process. 12. Coordinate with Project Managers at the award of a project to review billing terms and conditions within the contracts 13. Proven ability to perform strategic planning and setting for a billing department. 14. Perform other duties as required and/or assigned. Qualifications 1. An Associate’s degree in Accounting or Business highly desirable 2. 4 years of progressive billing experience and prior supervisory responsibility. 3. Excellent verbal and written communication skills. 4. Construction Administration experience 5. Proficient in Microsoft Office Suite or related software including advanced Excel and Word skills 6. Basic understanding of collection practices and laws. 7. Excellent interpersonal and supervisory skills. 8. Ability to act with discretion, tact, and professionalism in all situations. 9. Ability to maintain records and produce reports. 10. Extreme attention to detail. 11. Knowledge of accounting principles, practices, procedures, methods, and theory. 12. Perform accurate computations and verification of data. 13. Ability to work quickly and adaptively with various computer software.
