Regional Administrative Executive

What the day will look like + Acts as the point of contact among executives, employees, and other external partners to provide high-level communication support. + Extensive calendar organization / diary / appointments, including multi-time zone coordination. + Schedule, organize and coordinate in-person and virtual meetings / conference calls / events across time zones, regions, and markets. + Organize travel itineraries ensuring travel, accommodation and currency arrangements are made in line with requirements and company policies. + Process and file expense claims. + Participate in business meetings and provide administrative support to working groups (including preparing agendas, taking minutes of meetings and related training activities). + Coordinate with leaders to follow up on progress of action items agreed in meetings. + Liaise with external and internal contacts on the phone, face to face, virtually and via email to ensure timely responses and working relationships. + Assist New hire on-boarding - welcome notes, handle procurement of items and IT requests on equipment & accesses. + Support internal and external social media posting (LinkedIn and others). + Maintenance of organizational chart & meeting rooms to ensure they are in client-ready condition. + Maintain and monitor department, leave records and travelling, e.g., annual/sick/urgent leave etc. + Handling of incoming and outgoing mail/packages. + Assist with any other duties that may arise as requested by the COO Asia, including supporting members of his team, or working with Aon colleagues when extra support is required. Skills and experience that will lead to success + Graduate of any 4 – year course + Extensive experience in office administration / Executive Assistant/ Execut experience + Experience working within Insurance or Finance sector will be highly regarded + Intermediate to advanced level MS Skills (Excel, document formatting, Power Point etc) + Tech savvy individual who can pick up new systems quickly + Ability to multitask and work on a broad range of diverse activities + Proactive and enthusiastic personality + Excellent attention to detail + Consistent track record of effectively interacting and developing strong working relationships. + Good analytical, problem solving and conflict resolutions skills. + Proactive, result-orientated and a good team player.
