Position Summary The Western NY Regional Coordinator will play a critical role in managing clinic operations and ensuring optimal coordination of services within the Western New York region. Reporting directly to the ABA Operations Manager, this position is responsible for overseeing client communication, scheduling, and resource optimization while upholding the company’s commitment to excellence in ABA services. Responsibilities + Clinic Management : Oversee daily clinic operations to ensure a high standard of service delivery. + Client Communication : Serve as the primary point of contact for client inquiries, providing clear and empathetic communication. + Schedule Maintenance : Manage scheduling adjustments and resolve conflicts efficiently. + Client and Provider Terminations : Facilitate transitions while minimizing service disruption. + CR Client Portal Administration : Maintain the portal for enhanced accessibility and user experience. + Utilization Management : Monitor and optimize resource usage to maintain operational efficiency. + RA Coordination : Collaborate with referral advocates and clinical leadership to support service delivery. Success Measurements + 30 Days : + Gain a comprehensive understanding of company processes (CR and Power BI). + Familiarize yourself with the company's mission and values. + Meet cross-departmental partners and begin intake training with the NY team. + 60 Days : + Shadow NY team on scheduling, authorizations, and client coordination processes. + Develop proficiency in IA/RA operations. + 90 Days : + Master interdepartmental processes (HR, QA, Payroll, Credentialing). + Establish a relationship with referral sources and care advocates. + 1 Year : + Successfully train incoming WNY team members on intake, scheduling, and coordination processes. Requirements + Experience & Technical Skills : + Background in ABA coordination and healthcare operations- required + Proficiency in Central Reach- required + Must-Have Traits : + Critical thinking, problem-solving, and organizational skills. + Ability to prioritize, communicate effectively, and work independently. + Professionalism and a proactive approach to challenges. + Soft Skills : + Personable, adaptable, and collaborative. + Strong understanding and creative problem-solving abilities.
