Your role.
Your work will include, but not be limited to:
Office
· Maintains office space plan(s) and free addressing space plans, making changes as necessary.
· Works with Office Manager, Office Managing Partner, and/or Real Estate & Facilities Senior Manager to resolve issues and execute the office space plan(s).
· Obtains quotes from contractors as needed on minor repair or remodeling projects. Sends quote and/or contract to Real Estate & Facilities Senior Manager for review and approval.
· Oversee the coordination of office space allocation and furniture layout in collaboration with team
· Support the Real Estate & Facilities Senior Manager to ensure expansion/relocation/remodel projects meet the needs of the firm.
· Work to minimize impact of expansion/relocation/remodel projects on staff.
Maintenance
· Oversee and plan annual facility spending for office services, building and grounds maintenance, and improvement projects.
· Provide Real Estate & Facilities Senior Manager with annual facilities budget for inclusion in firm annual plan.
· Plan, organize, schedule and direct the maintenance and repair of building and grounds. Use facilities ticket management system, ServiceNow to manage daily tickets and annual PMs.
· Work with contractors on all electrical, plumbing, HVAC and exterior issues for buildings. Track all issues and ensure they are rectified in a timely manner.
· Work with the vendors to maintain, diagnose & correct problems.
· Conduct facility rounds to determine areas for improvement; handling day to day calls from staff and vendors. (Water leaks, electrical problems, assist in moving items, issues with e-Cert, any other problems that arise, etc.)
· Obtains quotes from contractors and sends quote and/or contract to Real Estate & Facilities Senior Manager for review and approval.
· Gathers facility/construction requirements from necessary parties in coordination with Real Estate & Facilities Senior Manager and uses objective judgment to fine-tune requirements.
· Manages, inspects, and monitors construction and installation progress of all ongoing projects in current office locations.
· Triages building maintenance issues with building management company and maintains a positive working relationship with property management staff in leased offices.
Security
· Maintains and updates as needed the office’s Emergency Response Manual.
· Part of the Emergency Response Team. Schedules an annual fire drill. Set up and coordinate Community Emergency Response Team training for staff plus provide an annual refresher course.
· Implement, facilitate and communicate a security plan- locally or firmwide; receive/investigate major emergency calls and if requested, lead disaster recovery planning; assess risk and monitor plans/equipment; On- call 24/7 for emergencies.
· Work with any tenants present in sublease space within the office(s). (Passcard access, fire & safety requirements for the space, permit.)
· Assist Office Managers on security and facility related issues firm-wide.
Supplies/Equipment
· Coordinate and approve supply ordering for office and kitchen supplies using firm approved vendor and contracts.
· Assist other departments on special projects (Ex. Technology-Server room expansion, generator & electrical needs).
· Maintain furniture inventory including disposal, placement, transfer, storing, etc including tagging of new fixed assets. Communicates asset tag numbers of transferred or disposed assets to Real Estate & Facilities team member.
· Assist as needed in set up of conference rooms including supporting troubleshooting video conferencing equipment; Work with staff on scheduling the rooms and clean up after.
· Lead the facilities team to ensure supplies are stocked, conference rooms and common areas are kept tidy, and all requests resolved timely.
· Manage the shipping and receiving function including USPS and FedEx.
Other
· Act as go –to person for facility priority decisions.
· Responsible for the selection, interviewing, hiring and supervision of all facility administrative staff in the office, including PPA, Compass and year end wrap up preparation.
· Participate in training as necessary to support facility skill set growth.
· May assist in other projects as requested.
· HS Diploma or GED equivalent required.
· Associates degree is preferred.
· CFM certification is preferred.
· 4+ years of office management, facilities operation, or related experience.
· Must be able to lift at least 30 lbs– specific job duties may require additional lifting to move, transport, position and install equipment.
· Ability to travel locally, work overtime and weekends is required.
· Ability to travel overnight or internationally may be required.
