Main tasks and responsibilities:
Coordinate office and assist Front Desk Representatives in ways that optimize procedures
Sort and distribute communications in a timely manner
Collection and submission of Invoices, preparation of local (transportation and accommodation) expenses
Create and update records ensuring accuracy and validity of information
Schedule and plan meetings and appointments as necessary
Monitor level of supplies and handle shortages
Provide general support to visitors
Coordinate cleaning and maintenance of the office
Coordinate and cooperate with other departments to ensure compliance with established policies
Assist in managing accommodation availability and coordinating guest arrivals and departures when necessary
Coordinate end-to-end process of overseas business trips with Travel Team, including complete visa documentation & application, travel insurance, accommodation, airport transfer, expense claims and any related items in a timely manner.
Coordinate end-to-end process of domestic business trips
Assists in all field activities locally (visiting banks, accountants, authorities etc.)
Provide help arranging both in-house and external events
Maintain trusting relationships with colleagues, customers and suppliers, as with facility owners
Perform front desk / receptionist duties when needed
Required Competencies:
