Relocation Project Coordinator

Relocation Project Coordinator

Project Administration and Reporting 

Schedule meetings/conference rooms (including specifics), maintain calendars, etc. for project/account team  

Accurately assemble and proof read project documents  

Work with Asst. RPM to ensure project documents are uploaded to centralized folder 

Receive and process client requests 

Assist in entering and processing information as part of project/account issue tracking and resolution 

Compare vendor/subcontractor invoices to purchase orders or subcontracts   

Perform data input into the CAFM system to maintain occupancy information 

Move/Project Management 

Manage daily individual move request from end to end as requested 

Proactively manage project-related issues on project/account 

Coordinate scheduled events with property management, facilities management, all parties involved in relocations, etc. 

Ensure all project/account activities and processes are performed in a manner consistent with documented processes including client's and JLL's policies and procedures 

Incorporate RPM best practices 

Coordinate work order and small project execution with vendors, including but not limited to furniture reconfigurations and space enhancements 

Identify outstanding issues associated with project and communicate to team lead 

Ensure data accuracy within relocation management and CAFM systems 

Receive and process client move requests  

Create and distribute move communications/move packets and labels to clients 

Perform pre-move and move day duties to include but not limited to: Pre and post-move inventory/check-out/check-ins, furniture inventory, hanging move signage and supervising movers  

Assist in entering and processing information during post-move help desk  

Ensure all move management activities and processes are performed in a manner consistent with documented processes including client's and JLL's policies and procedures  

Coordinate scheduled move activity with property management, facilities management, all parties involved in moves, etc. 

Coordinate work order and small project execution with installers/trades, including but not limited to furniture reconfigurations and space enhancements 


Ergonomics 

Receive and process client ergonomic requests Coordinate all ergonomic assessment scheduling with end user, conduct assessment, order products as deemed necessary as part of assessment and assessment follow-up 

Coordinate with client representative to provide employees workstations accommodations as necessary  

Report all ergonomic results and product distribution in client systems as required

Skills, Knowledge and Abilities 

Excellent written and verbal communication skills 

Detail oriented 

Ability to multi-task and work both in a team and independently    

Strong interpersonal skills with the ability to interact with executive level internal & external clients 

Organizational & detailed-oriented with the ability to prioritize and manage differing needs of the business. 

Basic proficiency with Microsoft Office products 

Flexibility with work hours and travel as needed
