Purpose of this Role:

We are seeking a detail-oriented and professional Reprographic Operator to support our document management team. This role involves the efficient operation of electronic and computerized scanning equipment to convert hardcopy documents into digital formats, as well as managing customer interactions and ensuring accurate documentation handling.

The ideal candidate will be responsible for coordinating document collections, verifying and sorting materials according to set guidelines, entering relevant customer and transaction details into systems, and facilitating the secure delivery of original documents.

Key Responsibilities:

Operate electronic or computerized scanning equipment to convert physical documents into electronic formatsCollect incoming documents from clients in a timely and organized manner.Accurately input basic customer information into tracking systemsVerify and sort documents according to established procedures and checklistsInput customer and transaction details into relevant systemsEnsure the safe delivery of original documents to clients, either through courier or direct handover, while managing customer inquiries and concernsTo reproduce high quality documents to client specifications using high speed reprographic and finishing equipmentReprographics responsibilities including monitoring/replenishing consumables for printers, calibrating machines, preparing files for scanning Reporting issues as per procedure and escalating issues to team leader Undertake all mail, courier, stationery tasks, records management and reprographics services provided within the One Stop Shop Prepare mail and files for digital scanning by removing fixtures and fastenings Scanning of hard copy mail/files into PDF format using high speed scanners Scanning of records Receiving inbound couriers and booking outbound couriers  ​

Key Skills

Reprographics/mailroom experience requiredWilling to learn or have previous experience with records management tool. Competent with Microsoft Office tools; Excel, Word, PowerPoint, Outlook emails and TeamsExcellent attention to detail skills is a mustKnowledgeable about routine maintenance and upkeep of equipmentClient focused approach to provide our high standard of service requiredAbility to work alone or collaboratively daily as part of a wider teamAble to keep calm under pressure Excellent communication skills with confidence to deal with clients at all levels Able to make logical decisions, considering all relevant information and alternative solutions Must take ownership for tasks and problems and personal development
