Purpose of role
The role of a Reprographics Operator involves producing high-quality documents based on client specifications using advanced reprographic and finishing equipment. Key responsibilities include maintaining and calibrating printers, scanning documents, booking couriers, and ensuring that all tasks are completed on time and to a high standard.
The Reprographics Operator also plays a key role in supporting colleagues, developing strong client relationships, and ensuring service levels are met. A strong focus on attention to detail, problem-solving, and a client-focused approach is essential, as is adherence to health and safety and company policies. The role requires both independence and teamwork, along with the ability to maintain a professional image and adapt to a fast-paced environment.
Key responsibilities
To produce high quality documents to client specifications using high speed reprographic and finishing equipmentMonitoring/replenishing consumables for printers, calibrating machinesReporting issues as per procedure and escalating issues to Team leaderScanning of hard copy mail/files into PDF format using high speed scannersBooking outbound couriers when required after the service desk has closedEnsuring work is competed in a timely fashion and of the highest qualityFull understanding of workflow processes and proceduresSupport colleagues and work as a team in order to achieve the best results for clientsProvide ad hoc mail services team support when required Mon-Fri 08:00-17:00Undertake additional duties as requested by management.Take responsibility for meeting targetsAttention to detail is paramountDevelop positive and professional relationships with customers.Create and maintain highest levels of customer confidence by providing a flexible and responsive service, exceeding expectations where possible.Develop an understanding of the customer’s business and ensure that Williams Lea delivers a service in line with their objectivesAdvising where appropriate on the best method of product and cost savingDevelop positive and professional relationships with our clients.Create and maintain highest levels of client confidence by providing a flexible and responsive service, exceeding expectations where possible.Take ownership for problems and ensure customer feedback and complaints are dealt with efficiently, with support from senior management.Advising where appropriate on the best method of productionTo ensure all possible deadlines are achieved and managed in accordance with our client’s service level agreement (SLA)Ensure that wastage is kept to a minimum. Highlighting to the Team Leader any arising issues that may have influence on production quality, including copy quality and procedural developments To ensure the Reprographics area is kept clean and tidy at all times.Ensure that Health and Safety policy is adhered to at all timesEnsure UBS IT policies and adhered to at all timesAppropriate usage of Internet and emailEscalate and manage IT issues should they occurPersonal attributes
Reprographics experience requiredWilling to learn or have previous experience within reprographics customer facing environmentCompetent with Microsoft Office tools; Excel, Word, PowerPoint, Outlook emails and TeamsExcellent attention to detail skills is a mustKnowledgeable about routine maintenance and upkeep of equipment preferableClient focused approach to provide our high standard of service requiredAbility to work alone or collaboratively daily as part of a wider teamAble to keep calm under pressureExcellent communication skills with confidence to deal with clients at all levelsAble to make logical decisions, considering all relevant information and alternative solutionsMust take ownership for tasks and problems and personal developmentMust be able to always show a professional and presentable imageTo be Self-motivated, enthusiastic, with a friendly and open mannerRewards and Benefits
