Job Description:
+ Work directly with the program director and advanced education to ensure complete registration of classes for residents to ensure timely graduation. Assist the graduate program director and other program faculty with the preparation and maintenance of courses and scheduling (preparation of course materials, creating and maintaining courses in CANVAS and databases, providing related reports, reserving rooms, creating calendar and meeting requests, blocking Axium schedule for all didactic courses to ensure no overlap between classes and clinical activity, and resolving any scheduling conflicts promptly, etc.), and draft fee schedules. Work closely with the program director to create and maintain accreditation documentation and data. Maintain resident files (grades, signed resident evaluations, signed thesis/PILOT form, exams, final exam paper, BLS card, and ACLS/PALS if applicable). Participate biannually in resident/intern/fellow semester evaluations. Participate in Graduate Prosthodontics meetings and faculty meetings to take minutes. Coordinate resident/intern interview process and resident/intern evaluation process and track progress as required by the college and university.
+ Ensure residents/interns complete annual training. Serve as point-of-contact for external agencies for onsite and offsite educational lectures. Work with full time and courtesy faculty on monthly faculty coverage schedule. Assist the program director with departmental administration, including record-keeping and ensuring compliance with CODA regulations. Additionally, schedule biannual mock boards.
+ Create and maintain purchase orders, reconcile PCard charges, process invoices, obtain quotes, coordinate travel arrangements, and process travel requests and travel expense reports on behalf of the program accurately and timely per department, college, and university policies. Review and approve time for accuracy following all department, college, and university requirements. Maintain office supplies, equipment, and software for the program. Work with dental maintenance, facilities services, and IT issues on behalf of the program. Assist with on-boarding and off-boarding of residents, interns, fellows, new clinic staff, and courtesy faculty working for the program. Manage continuity of patient care when residents graduate the program including, but not limited to, collecting patient photos, patient files, patient molds, etc. Coordinate special events on behalf of the program. Create inventory reports as directed by the program director.
+ Ship and receive all lab cases and follow up for appropriate patient scheduling. Serve as point-of-contact for internal and external labs for resident cases and liaise between lab, faculty, and residents/interns. Ensure relevant implant parts, dental supplies, and equipment are available at all times. As directed by the program director, rectify issues with dental labs concerning cases. Order, organize, and distribute the program's implant components and surgical supplies. Implant components include, but are not limited to, surgical and restorative fixtures and biomaterials such as bone, membranes, etc.
+ Serve as backup to program staff; respond to inquiries and requests regarding scheduling, patient appointments, and dental concerns. Work with the UF Health Volunteer program to coordinate clinical volunteer schedules for the program. Serve as a general resource for all direct inquiries from various constituents, including providing information on related activities, policies, and procedures on behalf of the program. Communicate with faculty, administrators, staff, and external contacts to respond to questions, resolve issues, and gather data as needed.
+ Attend meetings (as appropriate). Assist with other staff members and graduate program faculty members with technology needs. Cross-train with program staff members and others in the college (as directed). Conduct training (when needed). Perform/assist in any other duties deemed necessary by the graduate program director.
Expected Salary:
$19.00-$23.00/hr

Minimum Requirements:
Two year college degree and one year of relevant experience, or combination of education and relevant experience.

+ Dental assistant certification
Experience
+ Experience in a dental office, medical office, or practice management
+ Experience in AxiUm
+ Scheduling patients for a multi-provider practice, preferable dental proficient. Proficient with phone system and communication skills to answer multiple questions.
+ Working knowledge of the academic cycle/influences of academia on the clinic environment
Knowledge
+ Working knowledge of UF's policies and procedures

+ Strong computer skills in PeopleSoft, Word, Excel, Outlook, Power Point, and Adobe
