The Leidos Military and Veterans Health Solutions Operation is currently seeking a Research Administrative Assistant to join the Operational Readiness Directorate at the Naval Health Research Center (NHRC) in San Diego, CA.

The Research Administrative Assistant will be primarily responsible for providing administrative support and administrative functions for the Epidemiology and Data Management Support Department including, but not limited to, calendar management, updating Institutional Review Board (IRB) protocols and standard operating procedures (SOPs), taking meeting minutes, and maintaining trackers. This role requires excellent organizational skills, attention to detail, time management, and the ability to prioritize tasks effectively.

Duties include but are not limited to:

Work to achieve day-to-day department objectives including scheduling meetings for department leadership and managing Outlook and Teams calendars.

Attend department and command meetings and take meeting minutes for department leadership, including Science Investigator’s meeting, Executive Steering Committee meetings, and Captain’s Calls; update EDMS department on current command requirements; create solutions for department administrative requirements and processes and distribute those solutions to the department through meetings and training sessions; ensure process solutions are adhered to and provide updates to processes as needed.

Receive and edit Institutional Review Board (IRB) protocols in the electronic IRB system; provide guidance to the research teams on best practices for such protocols; manage submission of protocols and associated documents.

Receive and edit technical and scientific documents, such as reports, presentations, and manuscripts; return edits back to authors; upon receipt, ensure edits are made and then submit and track in electronic Authored Works system; work with command editing team and reviewers to ensure documents are moved through approval process in efficient manner to meet external deadlines.

Obtain purchase requests from department staff; review requests and work with department staff to ensure all needs are captured; determine whether purchases will be made on contract or in-house; create purchase request; obtain appropriate approvals; track purchases and receipt of goods; manage inventory list and ensure required items are barcoded.

Receive support agreement request documents; work with department staff to ensure all information is captured appropriately; submit support agreement requests in electronic system; track approvals.

Receive travel requests and provide cost analysis for travel; provide feedback to traveler and edit documents as needed; submit travel requests for approval in electronic system and track and manage the request in a timely fashion to ensure travel is approved as quickly as possible; communicate travel requests approvals and rejections back to travelers.

Organize department drives; develop standard operating procedures (SOPs) and manual of procedures (MOP) documents; track department research projects and update trackers.

Assist research staff with data entry and data quality checks as needed.

Basic Qualifications:

Bachelor’s degree in human resources, health care, science, or related field, plus 1-2 years of administrative support experience in a health care or research setting or related field.

Must be a U.S. Citizen and must be able to obtain a Secret Clearance.

Must have expertise in Microsoft 365 (e.g., Word, Excel, PowerPoint, Outlook) and Microsoft Teams.

Strong verbal and written communication skills; be able to effectively and professionally communicate to colleagues, leadership, vendors, and collaborators.

Excellent attention to detail required; must be a self-starter; must be able to respond effectively to multiple priorities at one time; must have effective systems for communication, tracking, and follow-up.

Excellent critical thinking with problem-solving skills and an ability to work cooperatively in a team setting with onsite and offsite personnel.

Flexibility in responding to changing demands, timelines, and priorities. Ability to travel both within the U.S. and internationally.

Experience working in a military healthcare setting

Pay Range:Pay Range $55,250.00 - $99,875.00

The Leidos pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
