Position Summary
This role involves working closely with researchers and principal investigators (PIs) to manage financial operations related to grants and contracts, while ensuring compliance with university policies and sponsor regulations. The successful candidate will provide vital administrative support, including facilitating post-award processes, overseeing financial tracking, and assisting with RS&GIS services.
Key Responsibilities:
The Research Administrator I will serve as the Fiscal Officer (FO) for restricted grants and agreements, managing the financial aspects of grants and contracts. They will liaise with central administration departments to facilitate post-award processes and ensure compliance with relevant regulations. The Administrator will review and approve new account setups and budget allocations, work closely with PIs to monitor spending, and ensure proper financial management throughout the life of the grant.
A key responsibility will be to provide monthly account reconciliations, track and audit expenses, and resolve any issues related to financial reporting. The Research Administrator will also be responsible for facilitating subawards and assisting with the completion of cost share entries and effort reporting. They will support the PI(s) with managing expenses, requesting no-cost extensions, and coordinating account close-out processes, ensuring that all final expenses are paid and that required reports are submitted.
Additionally, the Research Administrator I will support the RS&GIS program by serving as the Fiscal Officer for fee-for-service, non-credit instruction, and restricted grants and agreements. They will manage training registrations, handle invoicing, and ensure that payments are processed accurately. The Administrator will oversee travel requests and expenses, review certifications for drivers, and extend APAs as necessary. They will also be responsible for issuing invoices to off-campus clients, recording and depositing checks, and overseeing P-Card transactions to ensure compliance with MSU policies.
Minimum Requirements
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business Administration, Finance, Geography, or a research-related field; up to six months of related and progressively more responsible or expansive work experience in research administration in one or more of the research process areas of pre- or post-award processes, such as regulatory administration; experience in word processing, spreadsheet and database software; or an equivalent combination of education and/or experience. The job also requires: completion of Essentials of Research Administration (MSU certificate) or equivalent within one year of hire.
Desired Qualifications
The ideal candidate will have prior experience in post-award grant administration or financial management. Strong organizational skills and the ability to manage multiple tasks and deadlines effectively are essential. The candidate should be able to work collaboratively with a diverse group of stakeholders, including PIs, faculty, and central administration departments, and communicate effectively in both written and verbal formats. Proficiency in Microsoft Office Suite and financial management software is required.
