What we want The Program Coordinator I, in partnership with the family medicine residency program director, sports medicine fellowship director, and residency program coordinator, coordinates and manages the daily activities of the Sports Medicine Fellowship and Family Medicine Rural Training Program at Texas A&M. This role coordinates curriculum delivery, provides office management, ensures continuous accreditation readiness, and provides personnel management. The Program Coordinator serves as a liaison to program administrators, residents, fellows, faculty, and associated staff of the College of Medicine. This role conducts many aspects of resident, fellow, and faculty recruitment, alumni relations, and promotion of the department’s comprehensive educational mission. Some intra and interstate travel required. Location: The position’s duty station is in Bryan / College Station, TX. Required Education and Experience: + Bachelor’s degree in applicable field or equivalent combination of education or experience + Two years of related experience in residency program, medical education, undergraduate education program coordination, or healthcare administration Required Knowledge, Skills, and Abilities: + Knowledge of word processing and spreadsheet applications + Good verbal and written communication skills + Ability to work independently. Good organizational and time management skills + Ability to work well with students and resident physician learners + Knowledge of standard proofreading + Ability to multitask and work cooperatively with others + Ability to prioritize, manage multiple projects, and meet deadlines Preferred Qualifications: + Three years of related experience in program coordination/administration. + Experience working with community stakeholders + Experience working in medical or similar settings + Experience with grant report writing, data management, and/or technical writing or the equivalent + Knowledge of and experience in instructional design and/or curriculum development + Recent experience with ACGME accreditation and/or CLER consultative visits + Experience working with learning management systems including New Innovations Responsibilities: Program Coordination + Assists in the overall coordination and administration of the sports medicine fellowship and family medicine rural training program, including creating and maintaining resident training files within various online repositories in accordance with the rules and standards established by the Accreditation Council for Graduate Medical Education (ACGME), the American Board of Family Medicine (ABFM), Texas Medical Board (TMB), and other oversight bodies. + Oversees a coordinated system of faculty and resident scheduling to ensure achievement of educational objectives which complement the effective operation of a clinical enterprise while ensuring compliance with all applicable accreditation standards; working with program directors and faculty, ensures proper faculty and resident coverage of rural sites and service lines. + Assists in ensuring compliance related to duty hour submission, evaluations, curriculum completion, and other resident and fellow assignments. + Implements a system of effective and efficient resident recruitment, interviewing, and onboarding. + Responds to inquiries regarding program offerings. + May supervise office and administrative support staff in support of the program’s educational mission. Learning Management System Administration + Utilizes the New Innovations residency management software suite to assist in the management and coordination of resident and fellow activities. + Coordinates the use of residency management tools within the software system and develop and deliver training to faculty and resident users. + Utilizes the learning management system to coordinate and oversee program management activities including scheduling, duty hours compliance, and resident/fellow evaluation completion. + Utilizes the New Innovations suite as the department’s primary repository for trainee files. + May develop and update training materials and deliver training sessions. Business processes, administrative management, and regulatory affairs + Assists the College of Medicine in managing business processing operations of the residency and fellowship programs, as necessary, in conjunction with the College’s Business and GME Offices. This includes assisting residents, fellows, faculty, and staff with travel requests, logistics, and related expense reimbursement. + Assists GME leadership at Texas A&M with administrative responsibilities related to maintenance of all Affiliation Agreements between participating sites and the sponsoring institution, Program Letters of Agreement between programs and rotation sites, and other agreements as necessary. + Oversees processes relating to resident and faculty licensure, certifications, credentialing & privileging, and other regulatory affairs as required by Texas A&M Health, affiliate teaching sites, and the Texas Medical Board. + Coordinates, develops, evaluates, and ensures adherence to office procedures to eliminate duplication of effort and streamline flow of operations. + Ensures compliance with Texas A&M University and affiliate clinical teaching sites’ administrative policies and procedures. Accreditation Coordination + Assists in managing and maintaining a system of continuous accreditation readiness which supports the efforts of the department, program directors, and GME Office to comply with the requirements and mandates set forth by the Accreditation Council of Graduate Medical Education (ACGME) and Liaison Committee for Medical Education (LCME). + Compiles program statistics, records and databases. + Develops and implements processes which facilitate an effective Program Evaluation Committee (PEC) and Clinical Competency Committee (CCC). + Assists program directors and departmental leaders in the creation and management of accreditation documents, program applications, and related materials. Marketing and communication + Manages program website and both internal and external communications. + Maintains effective communication with community partners, affiliate health systems, and alumni. Coordinates faculty and resident recruitment efforts to include participation in on- and off-site recruitment events, development of marketing materials, and overall departmental promotion. Special events coordination + Assists in managing and coordinating logistics for special events and projects including scheduling meetings, booking locations, assisting with transportation and lodging reservations, overseeing and managing event budgets, catering, and compiling meeting materials. Such events include but are not limited to graduation ceremonies, white coat events, and on-site recruitment activities. + Plans and implements program events such as conferences, seminars, meetings and workshops. + Performs other duties as assigned.
