The Program Manager will continually assess, evaluate, and manage a wide range of programmatic responsibilities, including long-term planning, resident recruitment, project development, workflow review, database management, faculty and resident communication regarding a variety of topics and issues, as well as internal and external program relations management. The Residency Program Manager acts as an educational liaison between the program and attending physicians, residents, and medical students, other specialty departments, outside institutions, the GME office, andthe Medical Staff office and assures program compliance with accreditation agency standards.
REPORTING AND SUPERVISION:
The Residency Program Manager is supervised and evaluated by the Program Director with oversight of the Department Business Administrator. The GME DIO may also exercise supervision and oversight, and provide feedback and input into performance evaluations of residency program managers.
Minimum Qualifications Bachelors in a related field — years of experience as a program manager may substitute
Must demonstrate well-developed assessment, evaluation and organizational skills
Must possess the ability to function independently and know when to escalate issues to achieve and maintain high levels of successful project completion
Must possess skills and abilities in: o organizational development o training and development o project and event management o budget development and forecasting o accreditation and compliance
Must demonstrate critical thinking, problem-solving, and independent decision making skills
Must be detail oriented

Essential Functions: Manage daily operational and administrative functions of the Residency Training Program to include the management of training activities, budget, evaluation, conferences and events, and marketing; direct recruitment efforts for the Residency Training Program: to include webpage information architecture, fielding candidate inquiries (July‐Jun), ERAS application system (Sept‐Mar), develop and manage interview schedules; oversee database management and online listings. Develop orientation activities and schedules for new and continuing residents.
Program Training Management
Plans and schedules resident rotations, grand rounds, didactics, and other educational sessions
Develops annual program conference schedule for Flex Hour Conference, Grand Rounds, Junior
Resident Conference, Senior Resident Conference simulation center coordination, and all the CME
management therein.
Maintains professional, courteous relationships with internal and external training sites
Acts as liaison and manages communication between residency and affiliates
Maintains program letters of agreement
Ensures completion of resident onboarding, processing/credentialing
Schedules and proctors in‐service training exams
Track, monitor, and provide reporting on resident duty hours and case logs
Recruitment
Partners with the Program Director to establish recruitment policy and marketing plan
Manages Electronic Residency Application Service (ERAS) interaction; responsible for screening
applications according to program eligibility requirements
Prepares and updates recruitment letters and brochures
Coordinates interview process to include all faculty members, residents, and 60-plus candidates over a three‐month period
Partners with the Program Director to create the annual rank list to submit to the National Resident Matching Program (NRMP)
Completes annual GME track and FRIEDA updates
Accreditation
Advises PD/APD on Accreditation Council for Graduate Education (ACGME) requirements
Advises PD of requirement interpretation
Prepares and uploads annual ACGME data and reports.
Prepares the program, department, faculty, and Residents for annual program reviews, self‐studies, and site visits
Manages and participates in accreditation visits and meetings
