SUMMARY

The Inn Residences at Montage Big Sky is a luxury, shared ¼ deeded interest ownership property. The property consists of thirty-two Residences, ranging in size from three to four bedrooms, and services 128 Residential Owners at The Inn. Residential Reservations Coordinator, The Inn Residences, will be responsible for The Inn Residential reservations process and owner servicing needs . The functions of this position are in accordance with the fractional and association management agreements and must fulfill all obligations set forth in the association governing documents, hotel operating agreement and operational standards. The Residential Reservations Coordinator, The Inn Residences, reports directly to the Residential Manager – Inn Residences.

ESSENTIAL FUNCTIONS

• Reads, understands and ensures compliance with The Inn governing documents, and The Inn Reservations Policies and Procedures.

• Coordinates The Inn Residential Owner calendar of assigned weeks and Open Use periods.

• Coordinates the Inn Owner-to-Owner exchange program. Contacts owners who are interested in looking for alternative weeks, and facilitates the trading process between owners.

• Coordinates the Open Use reservation process, ensuring adherence to the reservation policies and procedures.

• Manages the inventory of weeks owners are not using, by placing this inventory in the hotel rental program, if applicable.

• Assists with Residential Owner’s requests; pre-arrival concierge services, in-Residence needs and assists with reservations at other hotels in the portfolio.

• Assists with onboarding of new Inn Residential Owners and move-in/move-out process, including rental management agreement coordination.

• Facilitates the management of the Owner Relations portal, ensuring all information is current.

• Develops relationships and recognizes preferences based on the needs and desires of each Inn Residential Owner and their family.

• Assists with house account and rental reserve billing.

• Reviews and audits owner rental income statements.

• Coordinates blocking of residences in property management system, ensuring all reservations for owners and hotel guests are accurate, ensuring efficiency for hotel operations and availability for hotel rentals.

• Where applicable, tracks and audits third-party rental agency occupancy and marketing initiatives.

• Additional duties as necessary and assigned.

QUALIFICATIONS

· Previous experience in luxury residential operations or hotel operations.

· Experience making and managing reservations, preferably owner exchange program and inventory management.

· Experience with Property Management systems such as Opera and Alice.

· Experience in a fractional or shared ownership project a definite plus.

· Familiarity with rental management programs as it relates to SEC regulations preferred.

PHYSICAL REQUIREMENTS

Position requires grasping, writing, standing, sitting, walking, stooping, bending, climbing, communication abilities, and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors, and colleagues. Individual must be able to stand and exert well-paced mobility for up to 4 hours in length. Length of time of these tasks may vary from day to day and task to task. Must have the finger dexterity to be able to operate office equipment such as computers, printers, touch tone phones, and fax machines.
