Position Summary:
Reporting to the Director of Resource Allocations, Office of the Provost and Executive Vice-President (Academic), provide financial and accounting services to support the preparation and administration of the Faculty Compacts, Academic Renewal model, Institutional Imperative exercise, resource allocations, HR-Budget Feed related allocations and academic salary models. Manage the Academic Laptop program. Ensure an accurate reflection of documents and financial commitments and liabilities through formation, administration and implementation of generally accepted accounting principles, regulations and controls. Ensure that accounting administration functions are carried out in accordance with established goals and objectives of the University. Implement procedures and systems that are moderately complex in support of the Office of the Provost and Executive Vice-President (Academic)’s operations and in accordance with established goals and objectives of the University.
Primary Responsibilities:
Manage operating and other funds ensuring adherence to internal and external accounting policies and procedures, or contract obligations.Act as advisor to administrative and academic staff regarding policies and procedures as well as contract obligations.Provide advice on fund management and details, budget processes, account balances and budget transfers.Liaise with staff across the university (i.e., Academic Personnel, HR, Financial Services, McGill Campus Store, ITS, Faculties and Administrative Units) to ensure effective collaboration and timely and transparent communication on all matters involving multiple team members and areas of responsibility.Act as an advisor to unit members/clients regarding university accounting policies and procedures.Collaborate in the preparation and analysis of the Faculty Compacts.Support the scheduling, preparation and compilation of the Resource Allocation report and associated statements and documents.Participate in the long-term financial planning to ensure on-going viability and prudent operations of Faculties and Administrative Units.Collaborate in the comprehensive financial review of resource availability related to budgets and staffing.Support the planning and recording of multi-year allocations.Participate in the development of the communication and documentation from the Office of the Provost and Executive Vice-Principal (Academic) concerning budgetary needs.Support the review and analysis of Faculty and Administrative Unit funds.Analyze, prepare and review the supporting schedules for the Academic Renewal model.Prepare financial reports as needed.Analyze, verify and process salary events related to new hires, departures and changes in labour distribution for the Academic tenure-track appointments.Verify and process budget transfers related to the Faculty Compacts, in-year allocations and salary adjustment allocations.Prepare academic staffing reports on funding sources and mechanisms such as CRCs, endowed chairs and salary awards.Manage the Academic Laptop program: Receive and review all requests for eligibility and funding. Submit purchase requisitions in the McGill Marketplace. Notify applicants and/or their requestor as well as the IT Asset Steward once purchase order has been sent to the Campus Store for processing. Prepare and maintain spreadsheet of eligibility and orders placed. Respond to all inquiries related to matters such as subsidy type, eligibility and ordering process. Generate and review report of all outstanding purchase orders. As needed, modify or cancel the purchase orders in the McGill Marketplace. Collaborate with the IT Hardware Asset Management (ITHAM) project team to review and develop improved IT asset management procedures. Develop ITHAM reports as needed.Participate in the preparation of Faculty Profile and related reports.Participate in special projects as directed by the Director, Resource Allocations and senior administration.
Other Qualifying Skills and/or Abilities:
Proven knowledge and experience in accounting, budgeting and financial reporting.Demonstrated knowledge of McGill administrative policies and procedures related to areas such as accounting, budgets, Workday, HR and IT asset management.Proficiency with computerized applications including Microsoft Office Suite, Banner FIS, Workday, databases, Tableau and web reports.Analytical and critical thinking skills as well as organizational skills.Ability to multi-task, prioritize and meet deadlines.Strong attention to detail.Resourcefulness in finding information and identifying solutions.Must be service-oriented and be able to effectively communicate with various levels of staff and academics.Proven ability to work autonomously as well as collaboratively amongst various teams.English and French, spoken and written.Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #3 on a scale of 0-4.
