Job Summary
The Respiratory Care Department Assistant is responsible for performing multiple duties that require expertise in secretarial, clerical, and receptionist duties. The Respiratory Care Department Assistant works under the direction of the Respiratory Care Director, or their designee and is responsible for maintaining professionalism and exhibiting adherence to CAMC Core Values as they interact with the public, hospital staff, and providers.
Responsibilities
Other duties and responsibilities of the Respiratory Care Assistant include, but are not limited to, the following:
o Perform all assigned secretarial, clerical, receptionist duties in a timely and accurate manner.
o Perform patient scheduling coordinating with physicians, patients, and registration relating to patient appointments for testing, clinic visits, overnight studies, home studies, procedures, and follow-up visits.
o Perform insurance verifications and authorizations prior to patient visits, as indicated.
o Coordinate daily operation of office and effectively manage patient flow for patient testing and procedures.
o Call patients to fill cancellations that occur.
o Confirm charges and monitor for accuracy.
o Coordinate department correspondence and send out reports to physicians, as indicated.
o Maintains and orders all office supplies and equipment.
o Maintain all department records and patient charts.
o Send informational packets to patients, as indicated, and contact patients to confirm 1-2 days prior to appointment.
o Perform patient registration duties and prepare new patient charts as indicated.
o Serve as liaison between home care companies and physicians and follows up for home equipment needs.
o Daily retrieve and distribute mail. Maintain proper procedures for telephone calls/messages.
o Compile and maintain monthly reports, including Professional Fees, variance reports, and scheduling reports, as indicated.
o Transport laboratory samples to laboratory, transport patient to and from other hospital areas, and obtain results for patient charts.
o Maintain all department records.
o Maintain inventory and timely ordering of commonly used office supplies.
o Assume responsibility for customer satisfaction by taking the initiative to resolve issues in a proactive manner.
o Assist with and Time and Attendance, coordinate classroom scheduling, type diagnostic reports, and put in maintenance orders, as indicated.
o Train other new Respiratory Care Assists or Respiratory Students, indicated.
o Assist in adherence to DNV accreditation standards.
o Adhere patient privacy by adhering to HIPPA standards.
o Appropriately handles and uses cleaning and disinfecting solutions and equipment and demonstrates appropriate use of personal protective equipment. Maintains cleanliness and orderly appearance of department and work area, as indicated.
o Identifies and reports any defective equipment to Director, or designee. Coordinates equipment maintenance and repairs with clinical engineering, as indicated.
o Maintain appropriate documentation and logs, as required, and communicates information on back-orders and critical needs to Director, or designee.
o Maintain proper gas cylinder storage. Take empty cylinders to the tank room obtaining full gas cylinders, as needed.
o Perform receptionist duties for Pulmonary Functions and Sleep Center.
o Assist with procedures such as patient intake and vital signs as determined by hospital policy and procedure, and regulatory guidelines.
o Performs other duties as assigned or directed to ensure the smooth operation of the department.

The employee must possess/obtain (by the end of the orientation period) and demonstrate the knowledge and skills necessary to provide developmentally appropriate assessment, treatment or care as defined by the department’s identified patient ages. Specifically the employee must be able to demonstrate competency in: 1) ability to obtain and interpret information in terms of patient needs; 2) knowledge of growth and development; and 3) understanding of the range of treatment needed by the patients.

Education
• High School Diploma or GED (Required) Preferred: Associate Degree in Medical Office Administration Degree, or related field. May substitute 2 or more years of experience of Medical Office Administration or other clerical setting.Preferred: Associate Degree in Medical Office Administration Degree, or related field.
