The EMERGE program at Farmingdale State College will leverage strategies that have been proven to promote student success and currently seeks to hire a dedicated Administrative Coordinator for the College's Office of First Year/Transfer Year Experience (OFY/TYE). When fully developed, the OFY/TYE will guide the efforts to:
+ Create and deliver First year and Transfer Year Experience Courses;
+ Develop Freshman Learning Communities;
+ Provide students with intrusive advising and academic success coaching;
+ Foster learning support; and
+ Facilitate co-curricular and extra-curricular activities.
The Office of First Year/Transfer Year Experience will eventually serve an estimated 1500 first-time, full-time and 900 transfer students each year.
Reporting to the EMERGE Director and working in conjunction with the entire EMERGE team as well as faculty and staff across the College, the Administrative Coordinator will be an integral role for the success of the OFY/TYE. Key responsibilities will include:
+ Manage daily office operations including addressing all initial program-related inquiries, conduct outreach to students and various constituents, and providing general office support
+ Assist with the planning, implementation and assessment of courses, student meetings, workshops, co-curricular activities and special events
+ Assist with tracking budget expenditures, including routine monthly budget reconciliation and analysis, and addressing any found discrepancies
+ Assist with purchasing and accounts payable procedures to facilitate timely orders, receipt and payment of vendor services and supplies
+ Oversee collection and submission of documentation related to hiring and payroll including new hire paperwork, time and attendance reports, and staff change forms
+ Liaise with the Office of Sponsored Programs Administration to facilitate communication and compliance of all policy and procedures for program operations, human resources and accounts payable
+ Create and maintain student participant databases and document files, as applicable
+ Assist with the development of student resource guides to increase student awareness and pursuit of available resources
+ Assist with program marketing and promotion efforts, including development of flyers, maintaining social media communication and calendars, and overseeing social media accounts and department website
+ Assist the EMERGE Director with coordination of special programs, collaborations and meetings
+ Perform other related duties, as assigned
Job Requirements:
MINIMUM REQUIRED QUALIFICATIONS:
+ Bachelor's degree
+ Proactive and motivated individual who is able to manage multiple projects and work as a member of a team
+ Detail oriented, with strong organizational and interpersonal skills
+ Proficiency in computer systems, including Microsoft Office (intermediate knowledge of Excel, at minimum, is necessary)
+ Excellent oral and written communication skills
ADDITIONAL PREFERRED QUALIFICATIONS:
+ Minimum 2 years of professional experience
+ Minimum 2 years of experience in office management, project assistance and/or budget tracking to aid with project management
+ Bilingual in Spanish
+ Experience working in an educational office setting
+ Experience in human resources and/or purchasing and accounts payable
+ Graduate of Farmingdale State College
